Project & Office Administrator – Part Time

Insero Talent Solutions has partnered with a growing real estate company in search of a Part-Time Project & Office Administrator to join its growing team.
This position will support and collaborate with a growing residential development and construction team, working directly with senior leadership across multiple high-end residential projects. This role plays a key part in keeping projects on track by managing documentation, coordinating schedules, supporting communication across stakeholders, and maintaining operational consistency.
This position is ideal for someone who thrives in a fast-paced environment, brings structure to complex workflows, and enjoys supporting leadership while contributing to an elevated client experience.
Responsibilities:
- Maintain and organize project documentation, logs, selections, and change orders.
- Prepare subcontracts, purchase orders, and project correspondence.
- Track compliance documents including W-9s, COIs, scopes of work, and quotes.
- Support scheduling workflows; follow up with trades, suppliers, and internal teams.
- Coordinate meetings, walkthroughs, and project check-ins.
- Track homeowner selections, approvals, and outstanding decisions.
- Draft clear, professional project updates and client communications.
- Maintain allowance trackers, internal budgets, and summary reports.
- Assist with invoice review and resolution of discrepancies.
- Support implementation and consistency of workflows, SOPs, and project systems.
Requirements:
- Experience in project coordination, operations, or administrative support, required.
- Experience in residential construction, real estate, or design, a plus.
- Exceptional organizational skills with strong attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities independently.
- Comfortable using digital tools and cloud-based project systems.
- Familiarity with construction management platforms (e.g., Procore, Outbuild, or similar), a plus.
- Ability to work in client facing capacity.
- Valid driver's license, required.
