    Job Description

    The Project Specialist, West Coast plays a dual role supporting both the SVP, Product and the broader Versant office operations on the West Coast. This position ensures the smooth day-to-day management of the SVP’s calendar, priorities, and administrative needs, while also serving as the operational point of contact for the Versant Universal City office, managing logistics, facilities, and on-site coordination.

    This is a highly visible role requiring exceptional organizational, communication, and problem-solving skills. The ideal candidate thrives in a dynamic environment, can manage multiple stakeholders, and demonstrates a proactive, solutions-oriented approach.

    Key Responsibilities

    Executive Support (SVP, Product)

    • Manage complex calendar scheduling, including internal and external meetings, across time zones.
    • Arrange detailed travel itineraries, accommodations, and logistics.
    • Prepare, submit, and track expense reports and vendor invoices.
    • Draft correspondence, coordinate presentation materials, and support meeting preparation.
    • Serve as gatekeeper and liaison, ensuring the SVP’s time is optimized and priorities are managed effectively.
    • Support ad hoc projects and initiatives led by the Product organization.

    **Office & Facilities Management **

    • Act as primary point of contact for day-to-day Versant office operations.
    • Partner with Facilities, Workplace Experience, Security, and HR on day-to-day office operations such as space planning, badging & access, and equipment/supplies.
    • Manage building access, badging, parking and visitor coordination.
    • Liaise with property management and EHS (Environmental Health & Safety) on building maintenance, safety compliance, and emergency preparedness.
    • Point of contact for office vendors and service providers (cleaning, catering, supplies, etc.) and UCP departments such as parking, security, etc.
    • Coordinate company events, meetings, and on-site hospitality as requested.
    • Support onboarding and workspace setup for new hires.
    • Monitor office supply inventory and manage purchase orders as needed.

    • Bachelor’s degree or equivalent experience preferred.
    • 2+ years of administrative, project coordination, or office management experience supporting senior executives.
    • Strong organizational and project management skills; able to juggle competing priorities.
    • Excellent interpersonal and communication skills, with a polished and professional demeanor.
    • Discretion and sound judgment in handling confidential information.
    • Proficiency in Microsoft Office Suite, Google Workspace, Concur (or similar expense systems), and facility ticketing tools.
    • Experience in media, technology, or entertainment environments a plus.

    Additional Requirements:

    • Hybrid : This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.
