    Job Description

    At PROPAY HR we work with each client to bring a true understanding of everything related to their Payroll Process. We interact with our clients daily, at multiple levels within the organization – consulting on best practices and innovations. We offer fully outsourced managed payrolls service/data management, tax filing, direct deposit, new hire reporting, time & attendance/time clock, Garnishment processing, and much more.

    The BENEFITS SPECIALIST will be a key team player, who will be an excellent resource in benefits related Payroll. The Benefits Specialist will be the subject matter expert and provide appropriate monitoring, facilitation, analysis, reporting and support.

    Hybrid Remote - On completion of 60 to 90 day Training period, the position we be working remotely 1 a week and in office 4 days a week.

    ESSENTIALS FOR SUCCESS:

    • Team Player with exceptional Customer Service Skills
    • 5+ years of experience in payroll, with a Special Focus in Benefits and HRIS Systems
    • Knowledge of IL Medicaid and IL Medicare
    • ProPay Payroll knowledge helpful.
    • Knowledge of all pertinent federal and state regulations, filing and compliance requirements.
    • Act as liaison to Associates with regards to escalated payroll inquiries. Providing quality customer service using established guidelines and tools.
    • Identifies, understands, and escalates problems as they arise, seeking support as necessary.
    • Self-motivated and independent problem-solving ability.
    • Ability to maintain the confidentiality of sensitive information.
    • Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
    • Experience in a multi-state environment.

    OUR PAYROLL BENEFITS SPECIALIST WILL:

    • Serve as a Benefits HRIS expert in processing benefits transactions, preparing benefit reports, maintaining data in HRIS related to healthcare and retirement plan deductions and eligibility.
    • Maintain benefits data integrity through enrollment audits.
    • Lead HRIS data management and reporting process including managing active cases for issue resolution, compiling data for payroll bi-weekly, supporting audit requests, processing employee changes, reporting and employee self-service assistance, annual EEO filing, and pulling requested reports as needed.
    • Support CEO and Payroll Specialists during internal and external compliance audits with data collection and analytics, ad hoc reporting.
    • Maintain benefits data in HRIS. Support overall Team with additional employee transactions including general HRIS data entry, audit, reporting, and HRIS system liaison.
    • Weekly review of benefit vendor file feed discrepancy reports, analyze errors, update HRIS data, work with vendors or escalate to Manager, Compensation & Benefits for further review and resolution.
    • Bi-weekly audit of HRIS for accuracy of 401K deferrals and loan repayments to ensure error-free payroll processing.
    • Coordinate with COBRA and third-party vendor for retiree benefits eligibility when retirees' coverage changes based on the eligibility rules.
    • Maintain accurate internal records on benefits payments, record employees' payments and submit checks to accounting.
    • Maintain data integrity in HRIS through monthly enrollment audits in conjunction with benefits reconciliation process.
    • Work to resolve any HRIS system errors/issues through case resolution system.
    • Support Manager, Compensation & Benefits, during retirement plan audits, health and welfare plan audits by pulling requested samples from various sources and verifying the data before submission to the auditors.
    • Alert Manager, Compensation & Benefits if there are potential penalties and research what caused them to eliminate the issue.
    • Help maintain data integrity in systems by running queries and analyzing data. Run compensation and benefits reports as needed. Maintain high level of confidentiality. Other duties related to benefits and compensation team support.
    • Generate monthly employee demographic reports including new hire, termination, and employee count reports.
    • Generate weekly reports and ad hoc reports as requested.
