    Job Summary:

    SC Property Management is seeking a highly organized and experienced Property Administrative Specialist to oversee the daily operations of our residential/commercial properties. The ideal candidate will be responsible for managing tenant relations, coordinating maintenance and repairs, ensuring legal compliance, and maintaining the financial health of the properties. We are looking for a professional with strong communication skills, attention to detail, and the ability to work independently in a fast-paced environment.

    Responsibilities:

    1. Daily office tasks:

    Answering phones and emails, assisting walk-ins, opening and distributing mail, preparing out-going mail where applicable

    Ensure day to day operations are handled smoothly

    Daily use of management software for data entry, accounts payable, auditing, and process tracking

    1. Tenant Relations:

    Handle tenant inquiries, complaints, and maintenance requests

    Ensure lease agreements are properly audited and followed

    Conduct property tours

    Handle tenant move-in and move-outs, including inspections and security deposit management

    1. Property Maintenance:

    Liaison between tenant and engineering team

    Ensure property cleanliness and safety, including landscaping and waste management

    Maintain relationships with contractors and service providers

    1. Financial Management:

    Collect rent and manage delinquent payments

    Enforce late fees

    Prepare and manage property budgets, track expenses, and allocate resources

    Ensure all financial records are up-to-date and generate regular financial reports

    Handle incoming payables including but not limited to vendor payments, utility bills, property taxes, and insurance

    1. Lease Administration:

    Enforce lease terms and conditions, addressing violations or disputes

    Manage lease expirations and coordinate with senior managers if necessary

    Prepare lease abstracts

    Conduct yearly CAM and base year reconciliations

    1. Compliance and Legal:

    Ensure the property complies with local, state, and federal regulations, including zoning laws, safety standards, etc

    Assist in handling disputes or legal issues, including evictions, when necessary

    Audit all vendors and work orders.

    1. Marketing and Tenant Retention:

    Develop strategies to attract and retain tenants

    1. Reporting and Communication:

    Provide regular updates to senior management regarding property performace

    Prepare and submit financial, maintenance, and occupancy monthly reports as well as year-end

    Skills and Qualifications:

    Strong Communication Skills: Ability to interact with tenant, contractors, and property owners effectively

    Organizational Abilities: Manage multiple tasks, such as rent collection, maintenance schedules, and financial tracking

    Problem-Solving: Address tenant issues, maintenance emergencies, and conflicts with creative solutions

    Financial Acumen: Understand budgeting, expense management, and financial reporting

    Experience with Appfolio Property Management Software is a must

    Education and Experience:

    Highschool Diploma or GED

    Property Management Certification (e.g. Certified Property Manager - CPM or Real Estate License) can be beneficial

    Relevant Experience: Several years of experience in property management, customer service, or real estate roles
