Justin Udy & Team is seeking a high-level Property & Executive Assistant Manager to play a pivotal role in both the real estate and property management arms of the business. This unique position combines operations management for a portfolio of 30+ units, personal executive assistance, client and lead follow-up, and internal team support. You’ll help run the business side, coordinate property renovations and vendor relationships, follow up with sales leads, and assist in executing high-impact marketing and client experiences. We are a nationally recognized real estate team focused on helping clients build wealth through real estate—and we’re looking for someone sharp, organized, and growth-minded to help us elevate to the next level. Responsibilities: Property Management & Operations (30+ Units) • Manage rent collection, utilities, and billing across all rental properties. • Coordinate with contractors and oversee renovation projects from start to finish. • Prepare budgets and monitor property performance metrics. • Handle lease agreements, security deposits, move-in/move-out logistics, and compliance. • Build strong tenant relationships and resolve issues professionally and promptly. • Maintain vendor relationships and ensure high standards of service. Executive & Personal Assistance • Manage executive calendars, appointments, and travel arrangements. • Coordinate with title companies and lenders on real estate transactions. • Handle inbox and phone communication, ensuring timely and professional responses. • Run personal errands and oversee household-related needs as assigned. • Support the principal broker with special projects and task management. • Organize office systems, files, client management, lead management, and CRM databases. Sales & Lead Engagement • Qualify, follow up with, and nurture incoming real estate leads via phone, text, and email. • Funnel leads into the sales pipeline and tracks conversion metrics. • Maintain, follow up, and update lead tracking reports and client records in the CRM. • Assist with listing and transaction coordination, open house planning, and marketing follow-up. • Help plan and execute client appreciation events and brand experiences. • Assist with maintaining and updating our online presence by posting to our Google Business Profile, publishing written articles, and ensuring all content is current, visible, and optimized for relevance and reach. • Help prepare and distribute branded marketing materials for listings and market updates, including pre-filled social media images, to ensure consistent, high-quality content across all platforms. Team & Office Support Coordinate new agent interviews, assist with candidate screening, and help facilitate onboarding processes, including systems setup, profile evaluations, and team integration. • Assist the Listing and Marketing departments with administrative and operational needs. • Ensure team meetings, agendas, and deadlines are tracked and supported. • Collaborate with team members to fill gaps in workflow and communication. • Maintain a high level of professionalism and confidentiality in all interactions. Qualifications: • Must have an active Utah Real Estate License (or willingness to obtain shortly). • 2+ years of experience in property management, executive assistance, or real estate sales. • Excellent verbal, written, and interpersonal communication skills. • Strong organizational and problem-solving skills; deadline-oriented and detail-oriented. • Familiarity with CRMs, Microsoft Office, and real estate transaction systems. • Able to multitask in a fast-paced, ever-changing environment. • Proven track record of handling projects from concept to completion. • Valid U.S. driver’s license and access to reliable transportation. Compensation: $50,000 - $60,000
