CLOSING DEPARTMENT: CLOSING/TRANSFER AGENT
A CLOSING/TRANSFER AGENT IS ASSIGNED A PORTFOLIO OF BUILDINGS AND IS RESPONSIBLE FOR THE FOLLOWING:
Managing Closing process from start to finish ensuring accuracy and compliance with applicable contracts and city/state laws; Process applications for sales, transfers, subleases, leases, refinances that come in for buildings assigned:
- Prepare for and conduct Coop Closings including but not limited to the following:
- Follow direction provided by the board (contract, procedures) and applicable city/state laws associated with running background/credit checks etc.; be primary liaison between the board, attorneys, brokers, lenders and mediate between the parties; communicate the wishes of the board and when necessary make determination that involving the Board’s attorney is required to create the necessary legal paper trail required in any given situation.
- Coordinate critical path items, what comes first for each board/property, each application, manage process to ensure board driven deadlines are met
- Review applications, confirm completeness and accuracy of information, resolve discrepancies in information, figures, review requirements that include up to 25-plus items including Contact of Sale, Financial statement with documentation, tax returns, required forms (window guard, house rules, lead paint, etc.)

- Run credit checks & Run criminal background checks, if required; Review credit checks for discrepancies with application and financial statement and record credit scores; Request litigation reports from attorney if required
- Point of contact for incoming inquiries on requirements related to sales, sublets, leases, refinances & requests for general information about selling, leasing, refinancing from shareholders, attorneys, lenders, brokers and other parties; provide PDF attachments and hard copies to shareholders, brokers, attorney etc.
- In connection with financing for sales and refinances, provide insurance, paid maintenance letters, process refinance applications for Boards, coordinate with shareholders, lenders, insurance agents, lenders and lender’s attorneys re deadlines and requirements.
- Prepare cover letters and miscellaneous detailed correspondence for Board (sometimes involve calculations and summaries of housing ratios, etc.)
- Enter & maintain data in Factor (closing software program) so that all applications that come in are recorded and tracked
