Property Management Senior Maintenance Coordinator
Job Type: Full-time Work Location: In person Residential (Homes) Property Management Experience a MUST Benefits and Mileage Included Pay Rate Based on Experience Essential Duties and Responsibilities as a Senior Maintenance Coordinator include the following; however, other duties may be assigned. • Manages all property turnover between tenants in a timely and organized manner that adheres to California tenant laws as well as Vienna Property Management standard policies and procedures. • Handle ALL maintenance requests that come in. This will require coordination with tenants/landlords/vendors as well as knowledge of repair resolution and expected bid costs, invoicing, and some home warranty company interaction. • Schedule vendors, maintain vendor relationships, add vendors, and be proficient with urgency. This may require availability to coordinate emergency situations on nights and weekends remotely. • Handle all Move/In Move/Out inspections and the process until the tenant is occupying the property. • Ability to work independently within a team environment, under minimal supervision. Inspects properties at the time of the move out walk through with the existing tenant. Compiles a detailed list of any damage and/or repair needs. • Ability to appropriately receive and resolve complaints or adversarial interactions with tact and diplomacy. • Responsible for settling the repayment of security deposits, determining appropriate deductions based on the move-out inspection, and returning the appropriate deposit to the former tenant within the state-mandated time frame. • Reviews and responds to all tenant questions and demands related to security deposits, including processing and filing court documents when necessary, as well as appearing in small claims courts on behalf of Vienna Property Management. • Complies with estimates for all needed repairs and presents the estimates to the property owner for approval. • Schedules and monitors all repair work to ensure timely completion. • Upon completion of all necessary work, inspects properties to ensure that they are ready to lease to a new tenant. Completed a thorough and detailed report of the pre-rental inspections and maintained a record of the inspection in the company's database. • Utilizes a thorough knowledge of emergency procedures for properties, including but not limited to emergency power, water, and gas shut-off. • Responsible for changing the billing of property utilities to Vienna Property Management between tenants to ensure continued service while the property is vacant. • Responsible for all activities associated with the general management of Vienna Property Management, which will include overseeing the staff and property portfolios. • Responsible for all activities associated with the successful completion of turnover of rental properties (including Security Deposit Dispositions), ensuring that move-out and preparation for new rental projects are handled in a timely and efficient manner. Property Management Experience a MUST. Knowledge of PropertyWare, PropertyMeld, Aptlyl, or Appfolio Preferred. Maintain a positive work environment and compliment employees on a good job. Responsibilities: • Manage all incoming maintenance requests from tenants and owners, ensuring timely triage, communication, and resolution • Coordinate vendors, schedule repairs, and oversee work completion to ensure quality, timeliness, and cost control • Review repair scopes and estimates, present recommendations to property owners, and obtain approvals when required • Maintain and build strong vendor relationships, including sourcing new vendors and negotiating pricing when appropriate • Oversee property turnovers, including move-out inspections, repair coordination, and rent-ready preparation • Conduct move-in and move-out inspections, document property condition, and manage security deposit dispositions in compliance with California law • Monitor and manage maintenance workflows in Propertyware (or similar software), ensuring accurate tracking, notes, and follow-ups • Handle emergency maintenance situations, including after-hours coordination when necessary • Communicate effectively with tenants, owners, and vendors to resolve issues professionally and efficiently Qualifications: • Benefits: Health insurance • Education: High school or equivalent (Preferred) • Experience: Property Management: 1 year (Preferred) • License/Certification: Driver's License (Preferred) • Minimum 2+ years of residential property management experience, with a focus on maintenance coordination. • Strong knowledge of common residential maintenance issues (HVAC, plumbing, electrical, appliances, etc) • Experience coordinating vendors, reviewing estimates, and managing repair timelines. • Proficiency with property management software (Propertyware, AppFolio, Property Meld, or similar) • Excellent organizational and time management skills with the ability to handle a high volume of work orders • Strong communication skills with the ability to manage tenants, owners, and vendors professionally • Ability to problem-solve and make decisions quickly in a fast-paced environment. • Comfortable handling urgent and emergencies, including occasional after-hours coordination Compensation: $25 - $35 hourly
