    Coldwell Banker Premier is seeking an experienced Property Manager to oversee an established residential rental portfolio throughout our Quad States region. The portfolio includes properties across the Shenandoah Valley and Northern Virginia, the Eastern Panhandle of West Virginia, and Western Maryland.

    This position focuses on owner relations, tenant management, portfolio performance, regulatory compliance, and maintaining high customer service standards. The ideal candidate is organized, responsive, comfortable traveling throughout the region, and able to manage multiple priorities in a fast-paced environment.

    Position Overview

    The Property Manager is responsible for the day-to-day oversight of an assigned residential rental portfolio. Responsibilities include owner and tenant communication, lease enforcement, vacancy oversight, delinquency management, court coordination, property inspections, and collaboration with the company’s accounting, maintenance, leasing, and administrative teams.

    Key Responsibilities

    Owner and Tenant Relations

    Serve as the primary point of contact for property owners and tenants.

    Maintain professional, timely, and consistent communication.

    Address owner and tenant questions, concerns, and escalations.

    Conduct regular owner check-ins and provide portfolio updates.

    Build and maintain strong relationships with owners and residents.

    Escalate significant legal, financial, or operational concerns appropriately.

    Portfolio Management

    Oversee the day-to-day performance of an assigned residential portfolio.

    Ensure leases, management agreements, notices, and supporting documentation are accurate and current.

    Monitor lease expirations, renewals, move-ins, and move-outs.

    Maintain occupancy and portfolio performance goals.

    Review owner statements and property activity for accuracy.

    Ensure tasks and follow-up items are completed within company timelines.

    Operations and Compliance

    Ensure property files meet company standards and applicable state requirements.

    Coordinate recurring property inspections and follow up on findings.

    Review inspection reports and communicate needed repairs or concerns.

    Oversee delinquency, notice, and eviction processes.

    Attend court hearings when required.

    Ensure AppFolio records, notes, documents, and tenant ledgers are accurate and complete.

    Follow company policies, procedures, and quality-control standards.

    Leasing and Vacancy Oversight

    Monitor vacancies, upcoming availability, and leasing activity.

    Work with leasing and marketing teams to reduce vacancy time.

    Review rental pricing, property condition, marketing activity, and lead response.

    Review applications and approve qualified applicants in accordance with company criteria and fair housing requirements.

    Coordinate with owners regarding repairs, improvements, and pricing recommendations.

    Track leasing progress and communicate updates to owners.

    Maintenance and Property Oversight

    Work with the maintenance team and vendors to address property concerns.

    Review work orders and follow up on unresolved or recurring issues.

    Communicate repair recommendations and approval requests to owners.

    Help ensure emergency and high-priority maintenance matters are handled promptly.

    Confirm completed work and supporting documentation when needed.

    Team Collaboration

    Work closely with the regional coordinator, maintenance team, accounting department, and company leadership.

    Provide clear direction and information to support team members.

    Participate in weekly property management meetings, portfolio reviews, and company initiatives.

    Assist with process improvements and regional growth efforts.

    Provide regular updates regarding occupancy, vacancies, delinquencies, inspections, owner concerns, and legal matters.

    The portfolio includes properties throughout the Quad States region, including but not limited to:

    Virginia

    Winchester

    Front Royal

    Linden

    Woodstock

    Strasburg

    Berryville and Clarke County

    Loudoun County and Brambleton

    Burke and Northern Virginia

    Surrounding Shenandoah Valley communities

    West Virginia

    Inwood

    Martinsburg

    Falling Waters

    Ranson

    Charles Town

    Berkeley Springs

    Surrounding Eastern Panhandle communities

    Maryland

    Hancock

    Hagerstown

    Frederick

    Surrounding Western Maryland communities

    Regular travel between properties, court locations, and regional communities is required. Reliable transportation and a valid driver’s license are necessary.

    Qualifications

    Two or more years of property management experience is preferred.

    Experience managing a residential rental portfolio strongly preferred.

    Active Virginia real estate license required.

    West Virginia and Maryland real estate licensing or eligibility to obtain additional licensing may be required based on portfolio assignments.

    Experience with AppFolio or similar property management software preferred.

    Knowledge of landlord-tenant processes, fair housing requirements, lease enforcement, and residential property operations.

    Strong written and verbal communication skills.

    Excellent organization, follow-through, and time-management skills.

    Ability to manage multiple deadlines and competing priorities.

    Professional and solutions-focused approach to difficult conversations.

    Ability to work independently while collaborating with a regional support team.

    Comfortable attending court hearings and managing delinquency and eviction-related responsibilities.

    Schedule

    Full-time position.

    Primary office located in Winchester, Virginia.

    Regular travel throughout the Quad States portfolio.

    Some weekend availability may be required.

    Occasional after-hours escalations may require attention.

    Court attendance is a required responsibility of the position.
