    Job Description

    OVERVIEW

    The Media Billing Coordinator will work to maintain all media billing requirements, including sending any missing vendor invoices, clearing monthly discrepancies for the buying team, and processing all media billings. They will also work closely with the Finance Department and provide updates on weekly basis for clearance and invoice payment.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    • Ensures all vendor invoices are entered into MBox
    • Works with buying team when necessary to match vendor invoices with purchased orders to determine accuracy of information on invoice
    • Gathers information for new vendors and enters into MBox
    • Assist with all broadcast (local and national), digital, OOH, and print billing needs including reconciliations during the invoice stage
    • Reviews vendor statements for possible past due amount/credits
    • Maintains confidentiality of financial data and related records
    • Maintains accuracy in work performed
    • Works directly with the client finance department to provide updates on reconciliation and if any vendor payments are due that have yet to be paid

    REQUIRED EXPERIENCE

    • Media background: 1+ years of experience with any media

    ADDITIONAL REQUIREMENTS

    • Spanish fluency

    RESPONSIBILITIES

    • Data entry
    • Support media billing process₋ Liaise with agency support services and vendors to resolve media billing issues₋ Identify and reconcile discrepant invoices₋ Request and process credits
    • Source and compile information for client reporting
    • Verify that commercials aired accurately

    QUALIFICATIONS

    • High School diploma or GED
    • Working knowledge of PC
    • Knowledge of Microsoft Office software, especially Microsoft Excel (Pivot Tables, V-Lookups)
    • Detail-oriented, and comfortable working with numbers
    • Willingness to learn new skills
    • Ability to thrive in a fast-paced environment
    • Strong team player with the ability to work on own initiative and occasionally unsupervised
    • Ability to communicate effectively by telephone, in writing, or in person
    • Positive, can-do attitude
