    Job Description

    DENTAL / ORAL SURGERY ( SPECIALIST) BUSINESS OPERATIONS MANAGER:

    Established, busy, growth oriented Oral Surgery Practice, in Northwest Indiana, looking for a motivated, goal oriented person ready to join and help lead a dynamic team.  Experience with Dental office operations necessary.  Knowledge of Dental Insurance and claims processing highly recommended.

    RESPONSIBILITIES:

    • Manage and improve operational practices
    • Allocate resources and materials to meet project deadlines
    • Track and forecast operational trends and analysis
    • Provide daily operations oversight for outside teams
    • Formalize policies and procedures in accordance to HR regulations

    ​QUALIFICATIONS:

    • Previous experience in operations or other related fields
    • Advanced project management skills related to Dentistry and Dental Specialty practice.
    • Professional problem solving and critical thinking skills
    • Exceptional leadership qualities

    JOB REQUIREMENTS:

    COLLEGE DEGREE OR GRADUATE LEVEL DEGREE IN HEALTHCARE/BUSINESS MANAGEMENT -- Dental

    office management experience important.

    • Knowledge of Quickbooks, Microsoft Office Suite.

    • Knowledge of marketing and healthcare management is essential

    • Must be able to multi-task, self-start, meet deadlines, manage staff and work in fast-paced

    environment.

    OSHA, HIPPA and compliance knowledge essential.

    • Must exhibit strong attention to detail, communication, and follow through skills.

    DESCRIPTION:

    • Oversee day-to-day business operations

    • Receive and organize all statements for business related expenses

    • Responsible for monitoring all fixed and variable business expenses

    • Collect data in the preparation of financial documents

    • Prepare a monthly and year-end breakdown of all practice expenses

    • Provide complete financial reporting to the doctor for review

    • Participate and attend continuing educational sessions

    • Manage/Update Practice software and its functions

    • A/R goals and Bookkeeper oversight

    • Assist in budgeting for new equipment

    • Monitor and maintain accounting books with accountant guidance

    • Participate in marketing plans and concepts to build for the future

    • Update and maintain employee office manual prepare annual reviews.

    • Review daily schedule for completeness and organization per protocols

    • Manage compliance with the HIPPA, OSHA, MSDS & HR. (HR company on retainer)

    • Oversee purchase of office and surgical supplies

    • Assist in newsletters, evening seminars, marketing and collection of patient testimonials

    • Daily bank deposits

    • Direct/Oversee staff assignments and activities

    • Determine staff schedules, Manage Employee Hours, Vacation days

    • Assist in the hiring and ongoing performance of staff

    • Participate and help prepare staff performance reviews

    • Document any staff issues

    • Monitor patient relations and financial accounts

    • Discuss and present treatment plans and finance options

    • Track patient case acceptance and follow-up

    • Display any posters required by federal, state, or local law

    • Overall office organization/cleanliness

    • Duties necessary for the success of the practice and to support fellow team members.
