Job Title: | Purchasing Administrative Assistant
Reports To: | Purchasing Lead
Summary:
The Purchasing Administrative Assistant supports the Purchasing Team by helping maintain the day-to-day flow of purchasing operations through accurate document processing, order follow-up, supplier communication, and administrative coordination. This role plays an important part in keeping purchasing activities organized, timely, and aligned with production and operational needs.
Responsibilities:
Process and maintain receiving paperwork with accuracy and attention to detail.
Review and track purchase order confirmations to ensure timely acknowledgment and alignment with order requirements.
Follow up with suppliers regarding back orders, delivery timelines, and order status updates.
Prepare, submit, and maintain VRA documentation and related purchasing records.
Communicate with MRO suppliers to support purchasing needs and maintain supply continuity.
Create and issue purchase orders as directed to support departmental and operational requirements.
Assist with general administrative tasks that support daily purchasing activities and team efficiency.

Required education and experience:
High school diploma or equivalent

Experience working with stock management, materials handling, or supplier documentation
Familiarity with standardized procedures and process-driven environments

Physical Demands:
Prolonged periods of sitting, computer work, and administrative tasks.
Occasional walking in production or warehouse areas.
Work environment:
Standard office environment.
Work is performed in a standard office environment with regular interaction across production, inventory, finance, and operations teams.
Occasional exposure to manufacturing and warehouse environments.
Travel Requirements:
There is no travel required for this role.
