We are seeking a detail-oriented and motivated Entry-Level Purchasing Coordinator to support our purchasing and warehouse operations. This role is essential in ensuring timely vendor deliveries, managing purchase orders, and maintaining accurate inventory records across our two warehouses. The ideal candidate will thrive in a fast-paced environment, be highly organized, and possess strong analytical and communication skills.
Schedule: Full-time, M–Th 8:00 AM – 4:30 PM, F 7:30 AM – 4:00 PM
Pay rate: $22.00 per hour

Key Responsibilities:
- Schedule vendor deliveries with carriers for both warehouse locations, considering daily truck limits and warehouse receiving hours.
- Update PO delivery schedules in our ERP system and communicate changes to buyers and warehouse staff.
- Proactively follow up on purchase orders that lack scheduled delivery appointments.
- Investigate and resolve inventory discrepancies, cycle count variances, and PO receiving issues in collaboration with the warehouse team.
- Verify purchase order paperwork against received goods and original orders.
- Review product date codes and alert buyers to short-dated inventory.
- Complete and submit claims for damaged, overage, or shortage items; coordinate with manufacturers and accounting to resolve discrepancies.
- Coordinate and schedule inter-warehouse transfers; enter transfer data into the ERP system and arrange transportation.
- Process monthly vendor returns, including generating reports and preparing supporting documentation.
- Collaborate with customer service to determine accurate return reasons and ensure proper processing.
- Assist the warehouse with necessary inventory adjustments and submit monthly summaries to vendors with explanations for return discrepancies.
- May be assigned additional responsibilities including vendor purchasing and management support.
Qualifications:
- Experience with reporting and data analysis preferred.
- Proficient in Microsoft Excel (intermediate level) and comfortable using various computer systems.
- ERP experience is a plus.
- Strong written and verbal communication skills are essential.
- High attention to detail and ability to troubleshoot proactively.
- Energetic, highly organized, and capable of multitasking in a dynamic environment.
