StaffBuffalo is working with a well-established, international trading organization in Western New York to hire a Purchasing Logistics Specialist with a strong focus on imports. This role has been created due to team growth and offers a great opportunity to join a stable, high-performing logistics group that manages the end-to-end movement of materials across global supply chains.
In this role, you will be responsible for tracking and coordinating inbound shipments, managing freight movement, handling customs documentation, and ensuring materials move in compliance with contracts, specifications, and customs regulations. You will work closely with internal trading teams, assistants, freight forwarders, customs brokers, ports, and warehouses to ensure shipments arrive accurately and on time.
This position is well-suited for a detail-oriented logistics professional who enjoys problem-solving, working independently, and staying organized in a fast-moving, deadline-driven environment. While many team members are naturally more introverted, the ideal candidate is comfortable speaking up when issues arise and communicating clearly with internal and external partners.
This is a hybrid role based in Getzville, NY, with a strong in-office presence.
Key Responsibilities
Track, manage, and coordinate import shipments from origin through final delivery
Coordinate freight movement using trucks, barges, and other transportation methods
Obtain, review, and compare freight rates; negotiate logistics-related costs when needed
Prepare, review, and manage customs documentation including Bills of Lading and import paperwork
Ensure shipments comply with contracts, specifications, tariffs, and customs regulations
Maintain accurate shipment tracking, documentation files, and deadline oversight
Communicate with foreign suppliers and overseas freight forwarders to book freight
Work closely with internal trading teams and assistant trade team members to facilitate shipments
Update internal systems and maintain organized digital shipment files
Follow up with vendors to ensure on-time shipping and correct documentation
Assist with purchase contract documentation and logistics-related problem solving
Navigate and resolve issues related to delays, disruptions, tariffs, or external events
Qualifications
Associate’s degree in Business or Accounting preferred; Bachelor’s degree a plus
A few years of hands-on experience managing or supporting material movement and imports
Strong understanding of import logistics, Bills of Lading, and INCO terms
Familiarity with how different trucks and shipments are loaded
Experience working with freight forwarders, customs brokers, or logistics providers
Strong attention to detail with the ability to manage multiple shipments simultaneously
Comfortable working across multiple screens, shared inboxes, and document-heavy workflows
Proficiency with Adobe PDF, including combining and preparing complete shipment files
Strong organizational, communication, and problem-solving skills
Ability to work independently while remaining communicative and collaborative
Comfortable in a fast-paced environment with shifting priorities
Work Schedule & Location
Hybrid role based in Getzville, NY
In-office Tuesday through Thursday required
During training, expect 4–5 days per week in the office
Standard hours are 8:00am–5:00pm, Monday through Friday
Flexibility provided for weather and similar situations
Travel
Minimal, domestic only
Occasional optional warehouse visits
