Position Summary
The Purchasing/Inventory Assistant will play a key role in supporting the purchasing and inventory operations at Challenger Teamwear. This position is responsible for processing purchase orders, managing product data (SKUs), maintaining accurate inventory records, contributing to product development tasks, and providing administrative assistance to the purchasing and inventory teams. The ideal candidate is highly organized, detail-oriented, and adept at working with multiple systems.
Key Responsibilities:
Purchasing & Ordering
Place orders with vendors for non-stock items in order to fulfill customer orders.
Enter and track purchase orders using our accounting software (Sage 100).
Help the sales team confirm orders through our online ordering system.
Create and update product listings and codes in both Sage and on our website.
Forecast what items we’ll need to order based on past sales and current demand trends.
Keep prices for non-stock items up to date on the website and in Sage.
Inventory Management
Respond to internal inquiries about product availability and incoming inventory.
Review requests for extra stock and decide if it makes sense to place an order.
Release back-up inventory as needed.
Help with inventory counts twice a year:
Print and distribute count sheets
Input and verify inventory data
Investigate discrepancies and recount if needed
Run reports to see where counts don’t match
Find and fix any issues with inventory records.
Make corrections in Sage for errors or damaged items
Clean up old or outdated products from Sage and the website.
Reporting & Analysis
Maintain historical sales data for all Challenger Teamwear products.
Prepare and update spreadsheets that track product sales, quantities, and values.
Create and review reports on purchasing activity, inventory levels, and product performance.
Help plan future product catalogs by matching stock levels with what’s currently offered, what’s coming soon, and what’s being phased out.
Product Development & Returns
Support product development by checking that samples and sizes meet our standards.
Manage product returns and replacements (called “make-goods”):
Track and process returns
Keep a monthly report on replacements and updates
Tools & Systems
Required: Proficiency in Google Sheets/Docs and Microsoft Excel
Preferred: Experience with Sage 100 (or a willingness to learn)
Qualifications and Experience
Strong attention to detail and excellent organizational skills
Proficient in data entry and spreadsheet management
Ability to handle multiple priorities in a fast-paced environment
Strong communication and problem-solving abilities
Prior experience in purchasing, inventory control, or administrative support is a plus
