Job Summary
We are seeking an energetic and motivated Quality Assurance Administrator to join our team. The Administrator manages the administrative engine of our quality department. This role is responsible for maintaining accurate, auditable records, coordinating quality documentation, and ensuring compliance with industry standards. The ideal candidate is highly organized, possesses exceptional attention to detail, and excels at data entry and document control. This role requires interaction with employees across all levels of the organization to achieve objectives, as they relate to GMPs, Safe Quality Foods (SQF), organic, gluten free and kosher certifications.
Responsibilities
Document Control: Manage the lifecycle of standard operating procedures (SOPs), change controls, and forms, ensuring correct versioning and routing for management approvals.
Record Keeping: Maintain meticulous physical and digital archives of inspection logs, test results, calibration records, and audit reports.
Data Entry & Reporting: Accurately log quality metrics into the company database and format weekly or monthly quality reports for leadership.
Audit Preparation: Organize files and pull required documentation to support external regulatory audits and internal quality assessments.
Department Coordination: Schedule quality meetings, record detailed meeting minutes, and track action items to ensure timely completion by cross-functional teams.
Inquiry Routing: Serve as the primary point of contact for administrative inquiries directed to the Quality department.
Quality Assurance & Compliance: Assist with corrective actions if deviations or discrepancies are identified, support internal and external audits by maintaining accurate and complete records, and daily inspection of operations to ensure safety and quality policies are being met.
Food Safety & Workplace Standard: Follow all food safety, hygiene, and GMP requirements and adhere to company policies, standard operating procedures (SOPs), and safety protocols.
Collaboration & Continuous Improvement: Provide input on process improvements to enhance efficiency, accuracy, and product quality, actively engage in Company communication mechanisms and any other tasks or projects, as determined by Quality & EHS Manager.
