SUMMARY
The Coordinator has primary responsibility for work order opening and closing, and any assigned tasks by management to keep the service department running smoothly. Assists any walk-in customers or transport drivers if needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES
•Reviews work in process, updating changes as they occur.
•Opens repair work orders for customers and internal accounts, edits and uploads technician’s service reports
•To determine if machine/ attachment is under warranty and code work order accordingly with notes.
•Coordinate with transportation for customer machines in and out of shop.
•Helps cover phones for the receptionist when needed and splits duties with other coordinators.
•Maintains and expedites work orders and coordinates work-flow.
•Communicate work order status with the Supervisor & Branch Manager if needed.
•Responds to requests for service and assistance from Sales department; assist with getting work assigned; helps service and sales department meet commitments to getting machine delivered on time every time not sacrificing quality.
•Work with customers in a professional manner ensuring their needs are met and obtain a positive NPS score.
•Demonstrate professional communication with internal and external customers.
•Order Caterpillar parts for service letters occasionally.
•Manage and analyze WIP (work in progress) process and report. Identify whether it's a warranty issue or involve another department/outside vendor to do repairs or additional upgrades.
•Responsible for obtaining method of payment for Service Department cash transactions.
•Write PO’s as needed for external vendors or order shop supplies if needed.
•Maintenance of work orders and invoicing, meeting benchmarks of Last day of labor to Invoice and WIP turns.

•Follow and understand MSHA & OSHA requirements. Know proper PPE and safety rules that apply to the job
•Manage work order collection issues and proactive responses to prevent write-off's.
•Support all branches for service requirements as required
•Perform other duties as assigned by management.
•Punctual daily
•Possesses basic computer skills.
•Follow up with internal accounts and other departments to get work orders closed.
•Understand the importance of Customer Satisfaction and Customer Service.
•Knowledge of CAT & AGCO equipment and work tools a plus.
EDUCATION AND/OR EXPERIENCE
High school diploma or general education degree (GED) and 1 - 2 years related experience and/or training; or equivalent combination of education and experience. AA or AS degree in Business or Technical discipline desirable. Must be proficient with MS Office software such as Excel and Word.
