    OVERVIEW:

    The Event Producer is accountable for bringing a program to life from its inception through to the end, taking a concept from discussion to execution through the communication and operation of all vendor partners, through project management of the logistics and through to day-of (live or digital) execution to ensuring the client is aware of the schedule, deliverables and expectations throughout. These inventive orchestrators are deft, swift, crafty and thorough. They manage timelines, source the unsourceable and have a wide-reaching network from which to call on when planning and executing our experiences. They are the five-steps-ahead, against-all-odds production arm of RED VELVET; regardless of HOW an objective is achieved, the Event Producer will ensure it gets done in the most strategic, timely possible way. They assume the role of the logistics lead and bring the team together to “problem-solve” should a desirable outcome be a challenge to execute.

    KEY RESPONSIBILITIES:

    Program Lifecycle

    Program Initiation - Help steward the proposal process by collaborating with the designated pod (pods are composed of leads from each discipline - creative, account, and professional services), providing guidance and input based on natural strengths and when specific logistical information is required for the proposal (e.g., verification of venue availability/options/wholesale pricing, virtual platform recommendations, estimated hours for team to plan & execute, etc.). Being the “voice of reason” and pressure testing the viability of ideas pitched.

    Program Management - Works integrally with other agency departments to determine which company (and self-created) tools are necessary to implement within the program lifecycle to best manage the program at hand, providing the clearest internal and external communication and expectations. The comprehensive work plan should ensure detailed recordkeeping, identify program deadlines and that they are met, clearly define the expected deliverables from RED VELVET vs. Client, budget management, and general logistics handling.

    Resourcing - Assess which partners best fit the goals of the program, utilizing vendors/partners that can make the concept best come to life while also considering Client goals and budget. Negotiate and manage contracts while keeping the following in mind: company liability, profitability, respecting the event partner relationship and value. Determine when additional internal resources are needed.

    Budget Management - Ensure all hard and soft costs to produce a program are accounted for, clearly recorded, and communicated to all stakeholders.

    Day-Of Execution - Ensure everything that was committed to and planned for during the planning phase is delivered to the Client’s satisfaction. Orchestrating and coordinating partner delivery and follow-through in accordance with what was agreed to in the planning phase. Swiftly managing unforeseen incidents and/or circumstances that may arise unexpectedly.

    Before a live or virtual program, draft event partner and staffing confirmations as well as a Risk Management Plan

    Prepare necessary day-of program documents to provide clear communication of deliverables and ease of reference for confirmed logistics

    Ability to lift 30lbs and maintain endurance while operating with a sense of urgency

    Post Program - Ensures all event partners are paid in a timely manner and works integrally with the Account Lead and Finance Specialist for financial closure of the program. Ensures all subcontractors, event partners, and other involved resources receive the RED VELVET hospitality with a hand written thank you card.

    Business Leadership & Development

    Event Partners - Actively builds and strengthens relationships with local and global industry suppliers and other strategic partners aside from the typical correspondence that takes place during program management (e.g., attend networking/industry meetings and events, direct outreach to partners, scout new partnerships).

    Trendsetter - Stay current with industry trends, if not creating them, to positively influence Client programs and ideas implemented. Stay current with general direction of our industry and seek/create educational opportunities to position ourselves as “experts” on subject matter (e.g. virtual platforms, sustainability in events, etc.)

    Client Relations - Works in tandem with Account Lead/pod to build and maintain strong Client relationships to the point where RED VELVET is viewed as indispensable, a strategic partner, and the leader within the industry.
