    REGIONAL COMMERCIAL COORDINATOR


    The Regional Commercial Coordinator provides essential administrative and operational support to the sales team. This role is responsible for ensuring smooth financial processes, managing sample and merchandising requests, supporting demand planning, coordinating office operations, and assisting with regional sales activities. The ideal candidate is highly organized, detail-oriented, and proactive in facilitating communication between internal teams, external partners, and vendors.

    Your responsibilities will be:

    • Process checks requests by gathering and submitting necessary documents to the finance department.
    • Track issued payments and communicate updates to clients as needed.
    • Serve as the primary liaison with the Accounts Payable (AP) department.
    • Process sample requests through the internal portal after brand manager approval.
    • Work closely with the Trade Marketing team to ensure timely sample distribution.
    • Manage the receipt of POP materials from the Marketing Team and confirm their arrival.
    • Coordinate with Merchandising Managers to distribute merchandising materials.
    • Participate in monthly demand planning meetings to review sales forecasts for the upcoming three months.
    • Update the Demand Planning file with input from sales managers.
    • Assist in gathering and adjusting sales projections as needed.
    • Maintain office supplies, beverages, and overall office cleanliness for a professional work environment.
    • Coordinate with internal staff to ensure office supply needs are met.
    • Prepare the office for meetings, ensuring TVs, welcome signs, and presentation materials are ready.
    • Organize and manage semi-annual regional meetings and the annual holiday party, overseeing venue selection, catering, and logistics of the events.
    • Manage storage unit payments and agreements, ensuring timely renewals.
    • Update payment and contact information for all storage facilities.
    • Collect and organize storage-related receipts and documentation.
    • Collaborate with brand managers to plan and execute regional sales and marketing activities.
    • Coordinate event logistics, including scheduling, location arrangements, and payments.
    • Oversee event execution to ensure seamless operations.
    • Schedule and send reminders for weekly merchandiser meetings, attending and taking notes when needed.

    You should have:

    • 1+ years of experience in sales support, administrative coordination, or operations.
    • Strong organizational and multitasking skills with attention to detail.
    • Excellent communication and interpersonal skills to coordinate with multiple departments.
    • Proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint).
    • Experience managing invoices, storage facilities, and event logistics is a plus.
    • Ability to work independently while supporting a dynamic sales team.

    Physical demands:

    The employee must regularly lift and move up to 10 pounds and occasionally lift and/or move up to 25 pounds. While performing the duties of this Job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear. The employee is occasionally required to stand, walk, reach with hands and arms and stoop, kneel, crouch, or crawl.
