REI Game Changers is looking for an Executive Assistant who will be considered a key role in the organization. We are seeking a dependable, calm under pressure, with a high level of execution. ROLE You serve as the liaison between the Operations Manager and the rest of the company. This means you are responsible for executing various administrative tasks that support the Operations Manager. This can include coordinating with the marketing and sales team with the resources they require, managing schedules, gathering documents to prepare for meetings, and helping plan our in-person client events. Because you will be working closely with the leadership team and supporting the operation manager by removing and completing tasks that are not their top priorities for the business, you are considered a key player in the organization. Responsibilities: • Meeting Minutes on the Weekly Leadership Meeting, departmental meetings, requested 1-1s as well as documenting project status from these meetings to hold attendees accountable • Managing ClickUp board of activities. This gives transparency to the rest of the team and the Operations Manager to know what is happening with each activity in each department. Nonnegotiable • Debrief Ops Manager at touch points each day on emails/messages/requests/inquiries that you are unable to respond to without her insight • Acting as a Liaison with the Leadership team and CEO. This means that all items needed from the CEO by members of the Leadership team are documented and inserted into the CEO’s calendar • Assisting the Operations Manager in the execution of new projects and objectives within the company. This can range from scheduling meetings to filling out any and all paperwork to managing vendors and follow-ups to launching a funnel or project to coordinating an entire event • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information for the Ops Manager as requested • Organize events on the Operations manager's behalf • Reminding the Leadership team of important tasks and due dates as well as decisions to be made • Following up on delinquent payments with private clients. This will include emails, text messages, and/or phone calls • Assisting the operations Manager with any items that are requested from the Marketing team such as application grading • Assisting the operations Manager in preparation for any meetings. Departmental meetings, 1-1 meetings, and leadership meetings. This includes gathering and presenting company numbers • Coordinating meetings with our private clients and the CEO • Assisting CEO and/or Operations Manager with any task items that are needed from the Sales team • Project handoffs; once created, facilitate the implementation and management of said projects • Assist Operations Manager in managing and organizing payroll for team members each month • Assist the operations manager in the interview process and onboarding of new team members by making sure they have access to all of the necessary tools and resources • Managing projects on behalf of the operations Manager to ensure the team is held accountable and KPIs are met • Administrative items requested by the CEO from the Operations manager are handled on behalf of the operations manager Qualifications: • Projects needed by the operations manager from the CEO are managed in ClickUp in a transparent and organized manner • Private clients have a five-star experience when interacting with you and the company • Vital business and any/all personal appointments are set and pre-scheduled as requested • All administrative items requested from the team for the operations manager are completed on behalf of the operations manager. Requests that can only be completed by the operations manager are assigned inside ClickUp • Appropriate research is done on behalf of Ops Manager to help direct focus involving new projects, ventures and anything else needing attention • All interactions are screened and handled appropriately, reaching out to the Operations Manager as needed for decision making. • ClickUp board is updated at minimum EOD each day • Telegram/Emails are answered by EOD each day on the Ops Managers behalf • Meets with the Operations Manager as requested to debrief on that day's Agenda REQUIREMENTS • Works well under tight deadlines and pressing situations • Ability to adapt to a fast-growing company and changing/move up of role • Ability to “manage up” the CEO and Ops Manager and give assertive directions when it’s best for the company • Proven success with project management • HIGH managerial skills • HIGH communication skills • Ability to learn software quickly • Efficient with email, phone, scheduling, etc • Able to consistently maintain a positive attitude and reflect the demeanor of the Leadership Team Compensation: $65,000 - $80,000 yearly
