    RH2 is currently seeking an experienced ADMINISTRATIVE SPECIALIST to support RH2's Analytical, Environmental, and Planning groups in our BOTHELL, WA location. This role desires a detail-oriented, organized, and collaborative team member who will provide exceptional client service, managing a diverse workload, and produce accurate deliverable.     ABOUT THE JOB

    As an Administrative Specialist or Group Coordinator, you will provide administrative support for professional civil engineering services.

    RESPONSIBILITIES

    • Coordinate and assist with the preparation of client and subconsultant contracts using the established review process.
    • Assist staff with the preparation of letters, reports, specifications, water/sewer plans, and other technical-related documents from rough drafts to final product following internal procedures.
    • Coordinate engineer reviews and obtain signatures from professional engineers.
    • Accurately produce digital or print materials for documentation and distribution, as requested.
    • Maintain network and archived copies of project files. Prepare files for archiving or destruction in accordance with retention practices.
    • Provide administrative proofing of technical documents and drafts. Maintain RH2 proofing guidelines and lead the proofing team, which includes training new proofing staff.
    • Assist the bid proposal team with preparation of proposals, SOQs, and interviews.
    • Assist administrative staff in other offices when time and workload permits.
    • Process incoming/outgoing mail for business groups and schedule in-person and virtual meetings.
    • Conduct research on various topics. Participate in special projects in conjunction with the Business Services team.
    • Other duties, responsibilities, and activities may change or be assigned.

    QUALIFICATIONS

    • Minimum five (5) years of progressive administrative responsibilities in a professional office setting.
    • Administrative proficiency in Microsoft Office products, including Outlook, Word, Excel, Teams, and Adobe (creating and editing PDFs).
    • Experience in preparing, editing, and formatting large documents in Word and Excel required.
    • Technical writing experience with proofing and editing experience desired.
    • Excellent time management skills and ability to prioritize tasks with changing priorities and competing deadlines.
    • Strong communication skills, both verbal and written. High interpersonal skills to successfully interface with clients, peers, and technical professionals.
    • Experience working in distributed work environment where other key members of team are in remote offices.
    • Organized, collaborative, and adaptable
