    Sanford Burnham Prebys is a preeminent, independent biomedical research institute dedicated to understanding human biology and disease, and advancing scientific discoveries to profoundly impact human health.

    The PROGRAM ADMINISTRATOR is responsible for day-to-day operational activities in support of the Cancer Center and the Institute’s research training programs.  The Program/Project administrator coordinates efforts and resources to ensure projects are delivered on time with all final deliverables.  The position maintains confidentiality of privileged information and performs a wide range of duties that require tact, sensitivity, independent judgment, diplomacy, discretion and flexibility.  To learn more about the NCI-designated Cancer Center, we invite you to visit the website:  SBP Cancer Center

    Primary Responsibilities

    Project Management

    • Develops and manages project schedules and work plans based on grant requirements and project scopes
    • Develops and maintains databases and other systems to track information and generate reports as needed
    • Catalogues and maintains working files relating to projects and organizational activities
    • Reviews and archives various presentations, documents and records in accordance with records management policies and procedures
    • Assists with the annual non-competing renewals in addition to the competing continuation renewals

    Administrative

    • Serves as primary point of contact by interacting with internal and external stakeholders
    • Updates and maintains various websites and social media accounts
    • Prepares, edits and distributes content for various communications
    • Coordinates and manages various events, such as workshops, retreats, etc.

    Budget/Finance

    • Assists with the financial oversight, analysis and planning
    • Coordinates and tracks completion of personnel activities including hiring and termination procedures, performance reviews, training and development resources

    Required Skills Required Experience

    • Bachelor’s degree and five years’ progressively responsible project management experience or an equivalent combination of education, training, and experience from which comparable knowledge, skill and abilities have been attained required
    • Advanced degree and seven years’ experience preferred
    • Experience with NCI-designated Cancer Center administration or managing large collaborative grants preferred
    • Experience with research administration including preparation of grant proposals, funding agency requirements and budgets preferred

    Knowledge, Skills, and/or Abilities

    • Knowledge and ability to interpret grant requirements/regulations and funding agency guidelines
    • Ability to maintain a calm and composed demeanor, exercising sound professional judgment and absolute discretion to effectively address sensitive issues
    • Effectively and diplomatically communicates with all levels of management, administrative and scientific staff among internal and external institutions
    • Ability to use sound judgement in determining and managing competing priorities
    • Works independently with minimal supervision and under strict deadlines while managing a variety of projects of various complexities
    • Possesses strong analytical, time management and organizational skills, excellent verbal/written communication and interpersonal skills, professional proficiency in Microsoft Office, Adobe Photoshop, and the ability to learn department-specific computer systems as needed

  • Qualifications

    REQUIRED SKILLS:

     

    • Bachelor’s degree or equivalent experience required
    • Minimum five years’ experience in a presentation production environment
    • Expert skills in Excel and PowerPoint
    • Extensive knowledge of specialized applications, including Adobe PhotoShop, Illustrator. MapInfo is a plus
    • Ability to make independent decisions and use problem-solving skills
    • Ability to work in a fast-paced team environment
    • Ability to prioritize work to balance multiple projects and deadlines
    • Excellent verbal and written communication skills
    • Exceptional customer service skills
    • Job review and estimation skills
    • Capacity management shift allocation and planning
    • Deadline management which includes managing wait times and turnaround times (TAT)
