POSITION TITLE: Membership and Database Coordinator

ABOUT RACINE ART MUSEUM
The Racine Art Museum Association’s (RAMA’s) two-campus organization consists of the Racine Art Museum (RAM) and the Charles A. Wustum Museum of Fine Arts (Wustum). Located on the shores of Lake Michigan, RAM opened in May 2003 and is an outgrowth of the 80 year-old Wustum. It has become a popular destination for the 11 million residents of the Chicago-Milwaukee corridor and visitors from across the US and beyond. RAMA operates both locations, using Wustum as its visual education center and the downtown campus, RAM, as home to its internationally recognized exhibitions of contemporary crafts. RAM holds the largest collection of contemporary craft art (ceramics, wood, glass, fiber, metal, and art jewelry) in the United States. RAMA’s programs enhance rather than duplicate the programs offered by larger museums to the north and south. RAMA has been considered a leader in providing high quality arts education to people of all ages since the 1940s. Today, Wustum houses one of the largest studio arts education programs of any museum in Wisconsin.
RAM is seeking a candidate that is enthusiastic, team oriented, and proactive with the ability to work creatively and independently to join our small, dedicated, collaborative team.
_ _GENERAL SUMMARY OF POSITION: Administer and maintain Racine Art Museum Association’s (RAMA’s) fundraising database; manage and implement ongoing membership program, renewals, and campaigns; assist Director of Development and to coordinate fundraising campaigns; provide clerical assistance to properly acknowledge and recognize donors and sponsors; and create mailing and marketing lists for distribution of promotional and informational materials.
PRINCIPAL JOB FUNCTIONS:
MAINTAIN RAMA FUNDRAISING DATABASE
· Oversee the entering, maintenance, and updating of constituent data
· Generate constituency reports
· Maintain accuracy of gift entries
· Reconcile gift records, memberships, and other entries with RAMA’s Accounts Manager at least one time each month
· Provide user training and importance of confidentiality as needed
· Oversee proper usage and licensing regarding database software
· Enter and maintain in-kind gifts
· Process acknowledgement of all financial and in-kind gifts and communicate tax deductible information to donors
MANAGE RAMA MEMBERSHIP PROGRAM
· Demonstrate ability to work with web-based membership acquisition
· Conduct new and lapsed membership campaigns
· Distribute monthly renewal and follow up reminders
· Manage benefits related to membership levels
· Process member cards and acknowledgement mailings and communicate tax deductible information
· Maintain and update membership materials
· Create reportage of Membership data for Director of Development to present to Board of Directors
COORDINATE ANNUAL DONOR CAMPAIGNS
· Work with Director of Operations and Development regarding the solicitation of individual gifts, corporate sponsorships, or planned giving/estates
· Record, generate, and mail gift acknowledgement letters and tax deductible information
· Maintain paper and electronic files of acknowledgements as appropriate

REQUIRED KNOWLEDGE AND SKILLS:
· Comprehension of computer functions and software applications
· Ability to create merge documents, create reports, and manage mailing lists
· Strong computer skills with proficiency in Microsoft Office Suite, Donor Data Base and payment gateways in order to reconcile monthly with Accounts Manager
· Strong oral/written communication skills, organizational abilities, and customer service focus
· Understanding of budgeting practices and constraints
· Flexibility in scheduling—some weekend and evening hours are necessary
· Outgoing personality with strong communication skills and ability to multi-task
· Ability to adapt to frequent changes of tasks and interruption
EDUCATION AND EXPERIENCE:
Bachelor’s degree in related field or substantial equivalent experience required. Nonprofit experience in fundraising, database management and administrative/clerical assistance is preferred.
PHYSICAL REQUIREMENTS AND WORKING CONDITIONS:
This position involves long periods of time sitting at a desk using a computer, walking, standing, and some lifting or carrying. It is rated as light work, exerting up to 20 pounds of force regularly in an office environment.
