    POSITION PROFILE

    The Showroom Operations Assistant position is responsible for the hospitality, aesthetic and experience of the Knoll Boston Showroom. This role requires an enthusiastic, proactive individual, an outstanding communicator with the ability to deliver incredible- customer service, organization, collaboration, attention to detail and flexibility.  

    Principal Responsibilities include but are not limited to the following: 

    EXPERIENCE AND CLIENT SERVICES

    • Design and create day to day marketing materials in InDesign, PowerPoint and other graphic design programs to support sales efforts.
    • Set-up and manage client experiences including, but not limited to: catering, transportation and meeting details to ensure a smooth and hospitable experience for all clients. 
    • Maintain and create relationships with vendors and venues throughout the Boston area – you are often the first person at Knoll someone meets!
    • Coordinate client requests according to Knoll standards, including: Book and schedule hotels, restaurant recommendations and reservations, transportation services including limousine/bus/train etc. 
    • Occasional travel coordination for team or guests.

    SHOWROOM

    • Manage master showroom meeting and event calendar.
    • Coordinate meeting scheduling and arrangements including catering set-up and clean-up.
    • Maintain showroom aesthetic which includes: moving furniture, removing debris/garbage/dishes, coordinating custodial and maintenance services. 
    • Respond and direct telephone and email inquiries.
    • Monitor, order, and stock full kitchen food/beverages and stationery supplies.
    • Coordinate showroom deliveries and work with Knoll Customer Service to place, track, and ensure final shipment of furniture orders.
    • Manage showroom sample program – maintain a stock of product demos in excellent condition and monitor whereabouts.
    • Coordinate showroom sample and demo deliveries between clients, dealers, and other Knoll locations.
    • Assist in the maintenance of promotional items inventory and order new products.

    SALES SUPPORT

    • Listen to and promptly act to resolve client issues and requests. 
    • Provide sales support as needed including walk-in traffic to showroom, walk-in-orders, general questions, or sampling requests.
    • Inventory, order and keep Knoll finish samples and literature organized for showroom’s use.
    • Proactively keep remote reps supplied with pricing requests, literature, samples, etc.
    • Assist Sales Reps and dealers with mock-up orders, installation, and accessorizing.
    • Perform other related general administrative and reception duties for miscellaneous errands and deliveries as applicable

    Required Skills

    • Prior Office Manager experience
    • Excellent organizational and interpersonal skills.
    • Ability to communicate effectively both written and verbally.
    • Ability to manage several projects simultaneously and meet deadlines.
    • Ability to interact effectively with internal teams and clients.
    • Demonstrate problem-solving skills.
    • Exemplary organizational skills and attention to detail.
    • Self-starter, able to work in a team as well as independently.
    • Proficiency in Microsoft Office applications, including Word, Excel and PowerPoint. In-Design is preferred. Salesforce is not required, but preferred.

    Required Experience

    • Graphic Design or Design Degree
