  • Responsibilities

    We are recruiting for a PROJECT ADMINISTRATOR II to play a key role on a specialized environmental remediation and demolition project for the Department of Energy in the Albany, NY regional area.  The Project Administrator will assist in records maintenance in accordance with any DOE requirements as directed by the Contracting Officer or incorporated into the contract.  These functions include, but are not limited to, tasks associated with creating, receiving, maintaining, storing, preserving, protecting, inventorying, scheduling, and dispositioning records; supporting records data calls and requests. Responsible for preparing project-related documentation and may be responsible for assisting with project scheduling, client interface, purchase orders and scopes of work for project specific items.

    Required Skills

    • Coordinates project activities to ensure the project is on schedule
    • Provides administrative and logistical support including meeting arrangement, progress tracking, and documentation
    • Has gained proficiency in multiple competencies relevant to the job
    • Works independently within established procedures associated with the specific job function
    • Assist in the creation, receiving, maintenance, storing, preserving, protecting, inventorying, scheduling, and dispositioning of records; supporting records data calls and requests
    • Maintain and preserve all records in electronic format (permanent must be maintained in both paper and electronic), with appropriate metadata, ensuring records are properly scanned/converted, scheduled and arranged for proper disposition
    • Create, maintain and generate reports as required and provide to senior project management staff, corporate and customers
    • Attend project meetings as required.  Coordinate meetings as required.
    • Create daily, weekly and monthly project status reports.
    • Monitor and document project tasks and compliance to contractual requirements. 
    • Manage general administrative and logistical support functions
    • Prepare periodic reports
    • Other job related duties as assigned

    Required Experience

    • Requires High school diploma
    • Minimum of ten (10) years of relevant administrative/logistical support experience
    • Excellent verbal and written communication with audiences of all levels
    • Intermediate user level of computer systems, database, and documentation control systems
    • Ability to identify problems, suggest solutions, and react to change with a high degree of attention to detail
    • Demonstrated experience formatting and printing technical documents
    • Must be able to read, analyze, and interpret data; provide response in a timely and professional manner; able to communicate clearly and succinctly on a basic and technical level
    • Must be able to document issues and resulting resolutions
