As our business continues to expand, we are seeking a highly organized, proactive Admin Assistant/Conveyancer to play a key role in our day-to-day operations. In this position, you will be the backbone of our team - ensuring everything runs smoothly behind the scenes while supporting both agents and clients throughout the transaction process. You’ll have the autonomy to manage your responsibilities independently, take initiative, and contribute to continuous improvements in our systems and workflows. Bonus items that motivate and set us apart: • Confidential Hiring Process • Paid vacay Responsibilities: • Maintain office supplies and inventory; place orders as needed • Schedule meetings, appointments, and maintain calendars for Agents • Organize and maintain filing systems, both electronic and physical • Assist in the preparation of reports, presentations, documents, and marketing materials • Handle conveyancing-related tasks, including liaising with lawyers, notaries, mortgage brokers, and clients to ensure all documentation and conditions are met • Ensure the office, boardroom, and kitchen are clean and presentable • Liaise with vendors, service providers, and team members • Manage the CRM • Coordinating the steps of a home listing or purchase • Organizing Buyer tours • Lead and showing follow-up • Helping plan events Qualifications: • Experience in Real Estate Office Management • Has a valid BC Driver’s license • Shows great interpersonal skills and proven ability to work well with a team • Shows excellent written communication • Proficient in Technology • Shows ability to quickly and accurately finish very detailed work • Enjoy being in a dynamic job where no task is above or below you • A constant drive to improve the experience of clients and our internal processes: "How can I make things better?" • Able to prioritize and manage a range of responsibilities • Maintain confidentiality when assisting in problem-solving for clients and the team • Ability to decipher and retain key facts, important information, and directives • Strong organizational and time management skills Compensation: $50,000 - $55,000 yearly PLUS Bonus Structure DOE
