We are looking for a highly organized, proactive, and detail-oriented Virtual Assistant to support our day-to-day business and personal operations. You will serve as the backbone of our backend office — keeping things running smoothly, managing administrative tasks, and jumping in wherever you are needed. When business activity is lighter, you will shift to outbound lead generation and follow- up to help keep our deal pipeline full. This is a long-term opportunity with a company that rewards reliability, initiative, and results. This position is remote in South Africa. Responsibilities: Administrative & Office Operations • Maintain and organize digital filing systems (Google Drive) — contracts, permits, invoices, photos, closing docs • Keep QuickBooks updated with income, expenses, vendor payments, and transaction records • Manage email inboxes and flag priority items for the owners • Schedule meetings, appointments, and calls on behalf of the team • Transaction coordinator, ensuring escrow and needed documents are on track promptly • Handle a variety of small tasks for the business and personally for the owners, as assigned Property & Project Support • Set up and turn off utilities for properties during acquisition, rehab, and disposition phases • Research and compile material options for rehab projects (flooring, fixtures, appliances, etc.) with links, pricing, and comparisons for owner review • Track rehab timelines, contractor schedules, and open items to keep projects on track • Assist with permit applications, vendor coordination, and property management tasks Market Research • Research target markets and neighborhoods — ARVs, rental rates, days on market, price trends • Pull comparable sales and rental comps using PropStream or public MLS data • Compile market summaries and opportunity reports for owner decision-making • Lead Generation CRM Management • Keep ReSimpli CRM updated — new leads, follow-up notes, deal stages, and contact info • During slower periods, outreach and follow-up with agents and wholesalers via Instagram DM’s, email, text, or platform messaging • Assist with pulling and organizing lead lists from PropStream / BatchLeads • Track outreach activity and response rates; report weekly to owners Social Media & Marketing • Create / Edit and schedule social media content across platforms (Facebook, Instagram, TikTok), showcasing deals, before/after projects, and company updates • Engage with followers and respond to comments and messages promptly • Assist with basic graphic creation using Canva or similar tools • Help maintain a consistent posting calendar Qualifications: Proficiency in the following is required or expected to be learned quickly: • QuickBooks Online — bookkeeping and expense tracking • ReSimpli — CRM and deal pipeline management • PropStream — lead generation and market research • Google Workspace — Gmail, Drive, Docs, Sheets, Calendar • Social media platforms — Facebook, Instagram, TikTok • Canva, Capcut, or similar — basic graphic design for social posts • Slack or similar — team communication What We Are Looking For • Prior experience supporting a real estate investor, team, or agency is strongly preferred • Strong written English communication skills — professional and clear • Highly self-motivated with the ability to manage multiple priorities without micromanagement • Comfortable working US business hours (or overlapping hours) in a full-time capacity • Proactive mindset — you identify what needs to be done and do it • Coachable and eager to grow with the company long-term • Reliable internet connection and a professional home office setup Compensation: $7 - $8 hourly
