  • Responsibilities

    We’re in search of an organized, extremely attentive to detail, professional real estate executive assistant to serve as the main point of contact for the Real Estate Agent. Your responsibilities include transaction management, relaying important messages to the broker, scheduling the broker’s meetings and trips, coordinating between vendors, marketing, data entry, systematizing information in the client databases, and more. In addition, you’ll need to run errands, open doors, attend inspections, and assist with everything as needed. Applicants should be tenacious, thorough, act with urgency, and be good communicators. Responsibilities: • Take notes and deliver messages from phone calls, emails, memos or reports to the broker • Schedule meetings, travel itineraries, and any other relevant appointments for broker • Function as the main point contact for the principal broker • Adjust to the needs of the real estate office and execute other assistant duties when necessary Transaction Coordination & Client Management • Manage and update all transaction timelines using Monday.com for seamless workflow tracking • Communicate consistently with buyers, sellers, lenders, attorneys, inspectors, and cooperating agents • Obtain quotes and coordinate services from vendors (photographers, inspectors, contractors, appraisers, etc.) • Schedule showings, inspections, appraisals, repairs, and final walk-throughs • Ensure all paperwork is completed accurately and on time (disclosures, contracts, amendments, etc.) • Track contract-to-close deadlines and coordinate key milestones with all parties • Assist with preparing and sending client gifts, mailers, or closing packages • Attend inspections or final walkthroughs as needed to represent the agent and take notes Operations & Vendor Coordination • Act as a liaison between vendors and homeowners (e.g., open doors for painters, cleaners, stagers, etc.) • Oversee access logistics to ensure vendors are on schedule and secure property entry/exit • Follow up on service orders and verify completion of repairs or scheduled services • Handle radon, pest, HVAC, cleaning, and staging appointments pre- and post-listing Marketing & Branding Support • Coordinate design, printing, and mailing of just-listed/just-sold postcards, seasonal mailers, and newsletters • Create and schedule social media content, listing promotions, and client appreciation posts • Manage online listing syndication and input properties into MLS with accuracy • Keep marketing materials stocked and up to date (flyers, buyer/seller guides, event signage) • Prepare branded client gifts and packages for delivery or mailing Administrative & Personal Assistant Tasks • Run errands such as picking up signs, lockboxes, staging items, gift cards, or office supplies • Drop off or mail marketing packages, closing gifts, or client documents • Help coordinate client appreciation events or pop-by deliveries • Manage inventory of signs, lockboxes, and marketing materials • Maintain calendar, schedule meetings, confirm appointments, and send reminders Qualifications: • Must have a valid Real Estate License • Experience using word processing programs, spreadsheets and Multiple Listing Service • 2-3 years experience as an executive assistant or administrative assistant • Excellent communication skills and organizational skills • High school diploma or G.E.D. required • Can work on deadline and handle private client information Compensation: $50,000
