Real Estate Assistant
We’re looking for a highly organized, proactive Real Estate Assistant to support a top-producing real estate team in St. Augustine. This role is ideal for someone who thrives in a fast-paced, client-focused environment, communicates exceptionally well, and is eager to grow alongside a high-performing agent. Our ideal candidate is tech-savvy, has superb organizational skills, a knack for customer service, and a strong understanding of the real estate transaction process. Excellent writing skills and proficiency with modern technology—especially AI tools—are essential. NOT looking for a virtual assistant. Must be local - we need someone to be available to work in person. Responsibilities: Administrative Support: • Run errands as needed • Handle various administrative tasks & research assignments • Schedule property showings & prepare necessary materials • Assist with SOPs to improve operational efficiency • Assist with office management & team organization • Write & format email templates for listings, showings, follow-ups, etc • Track lead sources & flow among team agents in CRM • Input sales & keep transaction records current • Manage Kevin's calendar Marketing Support: • Manage online profiles (Zillow, Yelp, FastExpert, etc) • Manage & improve Kevin's Google Business Profile • Implement SEO for Google & ChatGPT • Manage CRM smart plans for leads & past clients • Develop blog content using AI tools • Source content for marketing • Assist with social media posts • Update & create marketing materials using Canva • Manage website • Prepare monthly Realtor Report newsletter (direct mail) • Prepare monthly Coastal Key e-newsletter (e-mail) • Maintain client touchpoints throughout the year • Contribute to ongoing branding & marketing initiatives Client Relations: • Maintain CRM (organization, tagging, follow-ups, client profiles, etc) • Follow up with new leads & track engagement to ensure timely communication • Manage client milestones (birthdays, home sale anniversaries, etc.) • Client Intake Form requests & follow-ups • Serve as a point of contact for clients to free up Kevin's time • Assist with client events & "pop-bys" • Manage reviews • Respond to client needs with urgency, attentiveness, & professionalism Listing Support: Listing Appointment Coordination • Appointment scheduling • Prepare pre-listing packet & listing appointment materials • Appointment follow-ups Listing Preparation • Draft listing descriptions • Set up lock box & signage at the listing • Assist with property staging • Coordinate photography, cleanings, repairs, etc Listing Management • Open house coordination & preparation • Weekly Feedback Friday reports for sellers • Gather feedback from showings & inspections Post-Closing • Remove the lockbox & signage at the listing • Assist with closing gifts • Coordinate post-closing activities • Client post-closing drip campaigns Qualifications: • Weekend and evening availability • Candidates are required to have a high school diploma or GED • Possesses a basic understanding of Microsoft Word, Excel, PowerPoint, and customer database systems • Previous experience in an administrative role • Previous experience in the real estate industry is a plus • CRM software experience is a plus • AI tool training is a plus • Must be tech-savvy with a willingness to master AI tools at a high level • Highly organized • Excellent communication & interpersonal skills • Writing & marketing experience • Ability to learn efficiently online (i.e., webinars, training videos) • Detail-oriented & proactive • Dedicated to maintaining a professional yet personal touch • Ability to work independently & as part of a team • Comfortable in a client-facing role • Capable of representing the brand with integrity Compensation: $18 - $22 hourly
