Responsibilities: Executive Support Manage calendars, appointments, meetings, and scheduling Coordinate communications between clients, agents, vendors, lenders, and escrow companies Anticipate needs and proactively solve problems before they become issues Handle confidential information with professionalism and discretion Operations & Administration Maintain databases, records, files, and transaction documentation Prepare contracts, reports, presentations, and correspondence Track deadlines and ensure tasks are completed accurately and on time Improve systems and workflows to increase efficiency Client Experience Deliver exceptional service and communication throughout every transaction Serve as a primary point of contact for clients and vendors Resolve issues professionally and confidently Create a smooth and organized experience from listing to closing Marketing & Project Support Assist with social media, marketing campaigns, and client events Coordinate listing preparation and marketing materials Support special projects and business growth initiatives Who Will Thrive in This Role? This position is ideal for someone who: Is highly dependable and trustworthy Enjoys helping others succeed Can stay calm under pressure Takes initiative without being asked Communicates professionally and confidently Learns quickly and adapts to change Finds solutions rather than excuses Takes pride in doing quality work Wants to build a long-term career, not just find a job Qualifications: Required Qualifications Must live within 30 miles of Redlands, CA Reliable transportation and valid driver's license Minimum 2 years of administrative, executive assistant, customer service, or related experience Excellent written and verbal communication skills Strong organizational and time-management abilities Ability to prioritize multiple projects simultaneously Proficiency with Google Workspace and Microsoft Office, and Canva Close attention to detail Strong problem-solving skills and independent decision-making ability Preferred Real estate experience Familiarity with transaction coordination Marketing experience Experience with CRM systems California Real Estate License (not required) Candidates without a real estate license must be willing to obtain one within 12 months of employment.
