We’re looking for a highly organized, detail-oriented, and proactive Executive Assistant to support the operations of our growing real estate brokerage. This position is ideal for someone who thrives in a fast-paced environment, takes initiative, and enjoys wearing many hats. You’ll be working closely with the lead agent and team, ensuring that everything behind the scenes runs smoothly and efficiently. Key Responsibilities Include: • Transaction Coordination : Manage real estate transactions from contract to close, ensuring all deadlines are met and documentation is accurate. • Listing Coordination : Handle listing preparation, MLS input, marketing materials, and client communication related to property listings. • Client & Lead Management: Follow up with leads, track conversations, nurture relationships, and assist with converting leads into clients. • Marketing Support : Create, schedule, and manage marketing campaigns, newsletters, social media posts, and promotional materials. • Administrative & Personal Support: Manage calendars, schedule meetings, relay messages, organize digital files, and assist with day-to-day personal tasks as needed. • Database Management : Keep CRM and client databases organized, up-to-date, and systematized for maximum efficiency. • Communication: Professionally handle phone calls, emails, and client interaction with a focus on clarity, grammar, and a polished tone. Responsibilities: • Manage the client database to keep information orderly and confidential • Liaise between the supervising broker and clients • Answer phone calls, emails, and other requests and notify broker of necessary details • Execute office management tasks such as systematizing office records, and buying office equipment • Schedule meetings, travel itineraries, and any other relevant appointments for broker • Complete administrative duties, like picking up orders, or other tasks as needed • Pay and input invoices on a regular basis for the broker Qualifications: • Must have a valid Real Estate License • Experience using word processing programs, spreadsheets and Multiple Listing Service • 2-3 years experience as an executive assistant or administrative assistant • Strong interpersonal skills and time management skills • High school diploma or equivalent required • Prior experience in real estate is a bonus Compensation: $40,000 - $50,000 yearly
