Ready to join the exciting world of real estate? We should probably talk! An Executive Assistant / Listing Coordinator is needed for a top-ranking real estate team in Austin, TX. With the help of this individual, the agents aim to focus more on selling real estate and much less on back-end and daily administrative tasks. We are looking for an exceptional candidate who is willing to go above and beyond—just like the other members of this high-performing team. The ideal candidate will ideally have a background in real estate or listings coordination. A proven track record of creating and implementing systems and procedures in a fast-paced office atmosphere is preferred. This person will have a strong sense of urgency, love to-do lists, and thrive under minimal supervision—gradually taking on more responsibility and leadership within the team. Compensation & Benefits • Base Salary: $50,000 – $60,000 • OTE (On-Target Earnings): $70,000 – $90,000 with unit bonuses • Paid Time Off (PTO) Responsibilities: This person’s primary responsibilities include, but are not limited to: • Supporting the owner in both business and personal areas, including acting as a point of contact and managing calls, emails, texts, voicemails, scheduling, and correspondence • Managing listing appointments, timelines, Multiple Listing Service (MLS) input/editing, and coordinating contractors, vendors, and transaction coordinators to ensure listings are market-ready • Providing staging guidance and assisting with buyer and listing showings, particularly for high-end properties • Gathering and managing feedback from showings, tracking listing activity, and maintaining strong communication with owners and clients throughout the process • Creating and managing reports, presentations, marketing collateral, and listing marketing, including social media and team branding • Supporting multiple agents with day-to-day operations, database and lead management, and administrative systems • Planning and executing client experience initiatives, including past client engagement (“Care Bear” system), gifts, events, and closing details • Tracking team expenses and budgets, and eventually hiring, training, and holding other team members accountable • Owning and executing all administrative functions with excellence, ensuring the owner’s time and focus are optimized daily • Delivering high-touch service to every client and helping build systems that support long-term growth and team success Qualifications: • 2+ years of administrative experience in a real estate environment (team, brokerage, mortgage/title office, law firm, etc.) • Outstanding organization and attention to detail • Strong communication skills, both verbal and written • Tech-savvy and quick to adapt to new systems and tools, including CRM platforms, G Suite, ZipForms, DocuSign, and social media content planning tools • Able to juggle multiple priorities and deadlines • A service-first mindset with strong interpersonal skills • Comfortable working independently and managing time wisely • Strong problem-solving abilities and resourcefulness • Discretion and confidentiality are a must • College degree and social media experience preferred • Must have a real estate license (can be active or inactive) • Comfortable working with strong personalities • A CAN and WILL DO attitude—ready to do whatever it takes to keep the team moving forward Compensation: $70,000 – $90,000 OTE
