Real Estate Executive Assistant
The Carol Royse Team is one of Phoenix's most established real estate teams — 30+ years, 9,000+ families served. We are looking for a sharp, AI-savvy Real Estate Executive Assistant who is obsessive about checklists, great on the phone, and ready to be the operational backbone of a high-performing team. This is not a calendar-and-coffee role. You will manage transactions, coordinate listing launches, hold our marketing VAs accountable, and own our 5-star review system. If you build a checklist before you start a task and send follow-ups before anyone asks — this was built for you. Responsibilities: • Manage all transaction files from executed contract to close, tracking every deadline with zero exceptions • Upload listings to MLS within 24 hours, write AI-generated property descriptions, and order photography • Coordinate full marketing launches for every listing by managing and holding our VAs accountable to a defined system • Build and maintain listing kits, buyer kits, and open house kits for every active property • Make 10 outbound calls per day to clients, past clients, loan officers, and realtors, and log every call in the CRM • Own the team's 5-star review process end to end — requests, follow-ups, and tracking • Deliver a clean weekly performance report to leadership every Monday by 9 AM Qualifications: • Genuinely proficient with AI tools — must be able to write a property description using AI in under 4 minutes • Experience managing or holding VAs, vendors, or contractors accountable • Highly organized with strong written communication and zero tolerance for missed deadlines • Comfortable making outbound phone calls daily without hesitation • Real estate license not required — MLS experience preferred, but trainable Compensation: $19 - $26 hourly
