Job Description
We are actively seeking an experienced Executive Assistant with strong business knowledge, organizational skills and administrative know-how. A priority for this position is the ability to manage and prioritize daily schedules, tasks and follow up on business projects. The ideal candidate is a seasoned executive assistant who is self-motivated, trustworthy, flexible and exudes a high level of professionalism.
Responsibilities
· Act as the point of contact to two C level executives and liaison among managers, employees, clients and other external partners.
· Support, organize and manage information flow in a timely and accurate manner.
· Manage messages, emails and coordinate and distribute correspondence.
· Facilitate internal communications, meeting agendas etc.
· Improve office efficiency as this relates to administrative tasks and responsibilities.
· Maintain appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel; prepare information, memos and documentation as needed.
· Perform general administrative duties for executives such as: reports, maintaining files, organizing, photocopying, and follow up on outstanding items as needed.
· Handle confidential tasks and additional projects as assigned.
Requirements
· 5 years of prior experience as an Executive Assistant in a role that supported owner or C level executives.
· Experience in financial services, real estate or related professional environment is required.
• Able to make last-minute decisions and changes maintaining composure and manage other tasks and projects.
• Demonstrate the ability to analyze and evaluate situations appropriately.
· Comfortable as a solo and as a team-player; able to juggle multiple projects.
· Demonstrated ability to make sound recommendations and decisions regarding administrative efficiencies.
· Ability to take direction, facilitate, plan and remain calm under pressure.
· Writing and grammar skills must be strong with ability to compose letters, emails and respond to same.
· Friendly, professional manner with excellent written and verbal communication skills and ability to relate to the demands of a variety of situations and people.
· Excellent organization skills, eye for detail, strength in time management, and prioritization.
· Possess a wide range of general office, administrative skills and ability to maneuver through fluctuating priorities.
· Excellent computer, internet and technical skills: Outlook, Word, PowerPoint, Excel, office systems and software, office equipment.
