We are seeking a highly organized, proactive, and detail-driven Licensed Listing Coordinator & Showing Agent to support a high-producing multifamily real estate team. This is a critical operations role focused on delivering an exceptional seller experience, managing listing execution from pre-listing through closing, and assisting with buyer coordination and property showings. The ideal candidate is not seeking a temporary role but is committed to growing within a fast-paced, high-performance environment. This individual must be loyal to the team’s listings and lead flow, thrive on checklists and accountability, and be comfortable communicating with sellers, buyers, tenants, and industry professionals. Responsibilities: Pre-Listing & Listing Preparation • Confirm listing appointments (Zoom and in-person) and send meeting links • Assist with CMA, analysis, and proforma preparation • Gather property financials, operating expenses, and upgrade history • Create property Q&A and seller net sheets • Attend listing appointments and document detailed notes • Ensure listing agreements are fully executed by all parties • Prepare “Coming Soon” marketing and organize listing file systems • Walk properties with the agent, meet tenants, and collect access information Listing Launch & Marketing Coordination • Manage MLS, LoopNet, CoStar, and marketing platform input • Coordinate photography, videography, signage, and staging • Oversee quality control of marketing materials prior to launch • Prepare the Offering Memorandum and distribute it to buyers • Coordinate social media and email marketing campaigns • Schedule open houses, broker tours, and buyer showings • Provide weekly seller updates and feedback reporting • Track market activity, including competing listings and sales Buyer & Showing Coordination • Serve as the first point of contact for listing inquiries • Pre-qualify buyers and coordinate property tours • Conduct showings and broker tours when appropriate • Send Offering Memorandums and follow up with interested buyers • Capture and report showing feedback • Maintain and update buyer leads within the CRM database Offer & Escrow Management • Organize and summarize offers with clear comparison breakdowns • Assist with counteroffers and negotiation preparation • Track contingency timelines and escrow milestones • Coordinate inspections, appraisals, and property access • Communicate with escrow, title, lenders, buyer agents, and transaction coordinators • Facilitate document signatures and keep transactions moving forward • Monitor potential risk factors and support backup offer positioning Client Experience & Post-Closing • Maintain consistent communication with sellers throughout the transaction • Coordinate utility transfers and key delivery • Request client reviews and testimonials • Conduct post-closing follow-up and client care outreach • Assist with closing gifts and marketing case study preparation Internal Team Support • Maintain the listing pipeline and activity tracking • Prepare weekly listing performance summaries • Manage CRM updates and listing documentation • Provide daily priority updates and next-step coordination Qualifications: • Active California Real Estate License (required) • Strong organizational and checklist-driven mindset • Excellent communication and follow-up skills • Ability to manage multiple listings simultaneously • Comfortable working with tenants, investors, and multifamily assets • Proficiency with MLS, CRM systems, and standard real estate technology • Professional presence and strong phone skills • Availability for occasional evening and weekend responsibilities Ideal Candidate Traits • Loyal, team-oriented, and committed to long-term growth • Detail-obsessed with strong execution skills • Calm under pressure and solution-focused • Tech-savvy and process-driven • Strong sense of urgency and accountability • Comfortable operating in a high-performance environment Compensation: $80,000 per year
