    This is a key role at the center of a busy, relationship-driven real estate business. You’ll help create an exceptional client experience, keep listings and transactions moving, support our marketing, and work closely with the primary agent to keep the business organized and moving forward. When a client is in your hands, they should feel like they’re still in the best hands in San Diego. Responsibilities: • Client & Transaction Management Manage transactions from contract to close, attending inspections, confirm repairs, meet vendors, and deadlines. Serve as a primary point of contact for clients, providing proactive updates and anticipating what they need next. Coordinate inspections and attend appointments with clients when needed. • Listing Management Prepare contracts, disclosures, addenda, listing agreements, purchase agreements, and other real estate documents. Own the pre-listing and coming-to-market process from signed agreement through launch. Build and manage listing timelines, coordinating stagers, photographers, contractors, movers, handymen, and other vendors. Research HOA, insurance, financing, and property-related information. Prepare MLS input, ShowingTime, open houses, showing coordination, and printing listing materials. Manage showing schedules and communication with buyer agents. • Marketing, Events & Lead Follow-Up Prepare comparable market analyses and other property research as needed. Create and coordinate brochures, postcards, farming campaigns, email newsletters, marketing reports, and client communications. Manage Instagram, Facebook, and other social media platforms. Help plan and execute client appreciation events, community events, and other relationship-building activities. Bring ideas to the table and work with the primary agent to make events creative, organized, and memorable. Request reviews, testimonials, and referrals from past clients. Follow up with prospective and unconverted seller leads through calls, texts, and email. • Business & Team Operations Use AI effectively to improve marketing, communication, systems, research, and productivity. Own and maintain the CRM, ensuring contacts, follow-up, and client information remain accurate and actionable. Maintain organized Dropbox files, client records, templates, and shared team systems. Create, document, and improve SOPs. Identify gaps before they become problems and take ownership of the solution. Track invoices, payments, vendors, and administrative details. • Agent & Business Support Keep the team aligned through strong daily communication and organized shared systems. Work closely with the primary agent to organize priorities, appointments, communications, and follow-up. Help determine what needs the primary agent’s attention and prepare the information needed to make decisions efficiently. Strategize with the primary agent on listings, marketing, client events, lead follow-up, and business initiatives. Bring ideas, solutions, and recommendations rather than simply waiting for direction. Coordinate vendor and client appointments. Assist with miscellaneous business projects and occasional errands. • What We’re Looking For Help protect the primary agent’s time so they can stay focused on clients, relationships, appointments, and business growth. Highly organized with exceptional follow-through and attention to detail. Strong communicator who is confident working directly with clients, vendors, and real estate professionals. Able to anticipate needs, solve problems independently, and take ownership without waiting to be asked. Comfortable managing multiple listings, transactions, deadlines, and priorities simultaneously. Proficient with California real estate contracts and transaction processes. Strong marketing, social media, technology, and AI skills. Someone who enjoys contributing ideas and collaborating on how to improve the business. Collaborative, resourceful, and comfortable working within a small, close-knit team. Willing to occasionally work evenings or weekends when clients, transactions, or events require it. Qualifications: Active Real Estate License 2–4 years of real estate industry experience Proficiency with Large Language Models (LLMs), AI prompting, and AI-assisted workflows Experience creating marketing and advertising copy Strong English grammar skill is a must. Working knowledge of Canva, Google Workspace, Riverside, SDMLS, Follow Up Boss (FUB), DocuSign, ZipForm, Zoom, Loom, and Otter.ai is a plus. Compensation: $25 - $30 hourly
