Responsibilities: Office Operations & Cleanliness • Greet clients, agents, and vendors with professionalism and warmth at the front desk • Ensure the office is clean, tidy, and presentable at all times , including: • Light janitorial tasks (wipe surfaces, tidy kitchen/breakroom, organize supplies) • Maintain an inviting and professional workspace for all visitors and staff • Manage day-to-day logistics, including: • Office supply inventory and ordering • Mail and package handling • Coordinating repairs or vendor visits Executive Assistant to the Sales Manager • Serve as the right hand to the Sales Manager , handling: • Calendar management and scheduling • Preparing reports, agendas, handouts, and follow-up tasks • Tracking performance metrics or checklists for agent productivity Agent & Team Support • Assist with agent onboarding , welcome packets, and orientation materials • Help organize and support training events, team meetings, and company classes • Provide day-to-day agent support, including printing, tech help, and document prep Meetings, Events & Office Culture • Collaborate with the Sales Manager to plan and set up office events and activities • Take the lead on logistics for: • Monthly mixers, holiday events, appreciation days, etc. • Coordinating catering, decorations, and RSVPs • Host and support meetings and classes with the Sales Manager: • Set up AV equipment, prepare rooms, and greet attendees • Ensure materials, sign-in sheets, and refreshments are in place Tech & Marketing Assistance • Use and maintain internal systems such as CRM, SkySlope, and other platforms (training provided) • Support the marketing department with: • Social media posting and simple Canva design tasks • Website updates (agent bios, listings, announcements) • Manage email communications, digital filing, and document templates (Office 365, Gmail, etc.) Cross-Department Collaboration • Provide assistance to Marketing, Transaction Coordination, and Admin departments • Help execute company-wide initiatives and ensure operational consistency across teams Qualifications: The ideal candidate for this role should have the following qualifications and attributes: Core Competencies • Proactive, positive attitude with strong initiative • Strong multitasking and organizational skills; able to manage shifting priorities • Excellent communication skills , both verbal and written • Customer service-minded with a warm and professional demeanor • Detail-oriented and reliable with high standards for accuracy and presentation Technical Skills • Tech-savvy , with the ability to quickly learn new systems • Familiarity with Office 365, Gmail , cloud storage, and basic office tech • Experience with social media platforms , email tools, and light content creation • Knowledge of Canva or basic graphic/photo editing (preferred) Experience • Prior experience in office administration or supporting a sales team • Comfortable supporting agent onboarding, training coordination , and light event planning • Bonus for real estate industry experience or knowledge of platforms like: • SkySlope • MoxiWorks • BrokerSumo Work Ethic & Culture Fit • Willingness to “pitch in” wherever needed , from admin tasks to event setup • Flexible and team-oriented ; enjoys a fast-paced, growth-oriented environment • Driven by a desire to support others and contribute to a bigger mission This position is ideal for someone who thrives in a collaborative, fast-paced office, enjoys helping others succeed, and wants to grow their career within a real estate environment.
