We are seeking a highly organized, detail-oriented Real Estate Administrative Assistant to support our growing team at HOMEmade Real Estate. The ideal candidate will be proactive, reliable, and skilled at managing transaction processes, client communication, and office operations. This role is essential to ensuring a smooth client experience from initial contact through closing. You will manage key administrative functions, assist in marketing coordination, and maintain compliance standards across all transactions. This position requires strong time management skills, excellent communication, and the ability to adapt in a fast-paced real estate environment. Responsibilities: • Manage all aspects of the real estate transaction process from contract to close • Schedule and confirm appointments, showings, inspections, and walkthroughs • Prepare, review, and organize all real estate documents, ensuring compliance and accuracy • Maintain client and lead databases (CRM) and ensure data is accurate and up to date • Track key transaction milestones and ensure all deadlines are met • Communicate proactively with clients, agents, escrow, and vendors to ensure a seamless experience • Create status reports and update team members on transaction progress • Support in marketing coordination and assist with community event logistics as needed • Organize and maintain digital and physical filing systems Qualifications: • License for real estate is preferred but not required • Candidates are required to have a high school diploma or GED • Possesses a basic understanding of Microsoft Word, Excel, PowerPoint, and customer database systems • Minimum of 2 years of administrative experience (real estate preferred) • Strong understanding of real estate processes, timelines, and documentation • Experience with CRMs and transaction management systems (e.g. Dotloop, Skyslope, Follow Up Boss, etc.) • Proficient in Microsoft Office and Google Workspace tools • Excellent verbal and written communication skills • Strong attention to detail, time management, and organizational skills • Ability to work independently and collaboratively in a team environment Compensation: $50,000-$60,000
