About the Business The Role You'll be the operational engine behind our scaling plan - turning strategy into execution, building systems that work without constant oversight, and structuring our growth trajectory. You work directly with the founder to drive the business forward while he focuses on high-value activities: content creation, lead consultation, and final negotiations. This is a business builder role, not administrative support. You're helping run and scale a multi-million dollar operation. The right Operations Manager doesn't just keep things running - you unlock the next level of growth by: • Freeing founder time from 12-hour days to 25-hour weeks focused on the highest-value activities • Building leverage through systems that multiply effort rather than add work • Executing strategy with disciplined follow-through on growth initiatives • Structuring scale so we can 2x transactions without 2x-ing chaos We're looking for someone who can start within 30 days. Responsibilities: • Organize filing systems and, when needed, help other real estate team members with contracts, such as title exams, title sheets, executing commissions, and coordinating buyer and seller information • Create and update MLS listings in the database and oversee the marketing materials for each listing, including social media posts, photography, signage coordination, brochure drop off, and any other necessary materials What You'll Own Systems & Process Development: • Build, document, and optimize workflows across lead generation, conversion, and transaction management • Create SOPs and training materials for current and future team members • Identify bottlenecks and implement solutions before they become problems • Audit existing systems to find winners, faders, and hidden opportunities Team & Project Management: • Manage the VA team, showing assistants, and transaction coordinators • Oversee hiring funnels: from sourcing to onboarding • Build compensation structures and performance tracking systems • Coordinate between team members to ensure seamless execution Growth Strategy Execution: • Execute against our 1-3-5 framework (1 goal, 3 priorities, 5 strategies per priority) • Project manage major initiatives: database monetization, content scaling, seller conversion systems • Track KPIs and provide regular reporting on business metrics • Research and implement new tools, platforms, and growth opportunities Content Operations: • Coordinate multi-platform content distribution (YouTube, Instagram, Meta, newsletter) • Manage content calendar and repurposing workflows • Track engagement metrics and viral content indicators (10x rule, view thresholds) • Optimize posting schedules and platform-specific strategies Business Intelligence: • Analyze lead sources, conversion rates, and ROI across all marketing channels • Conduct regular business audits to identify optimization opportunities • Manage CRM hygiene and database segmentation strategies • Build reporting dashboards for decision-making Qualifications: • Must possess exemplary problem-solving, communication, and time management skills • General computer skills with Microsoft Office or similar systems • Real estate license not required, but knowledge of the real estate industry is a plus • 2 years of office management experience or similar work experience required • High school graduate, G.E.D. recipient, or equivalent required, bachelor’s degree preferred What Makes You Ideal Must-Haves: • 3+ years of operations, project management, or business management experience • Proven track record in building systems and scaling operations • Extremely organized with exceptional attention to detail • Tech-savvy: comfortable with CRMs, project management tools, AI tools, and content platforms • Data-driven: can analyze metrics and translate them into actionable insights • Self-starter who takes ownership and drives initiatives to completion Personality Fit: • DISC profile: S/C (Steady/Conscientious) - we need methodical execution, not flashy chaos • Process-oriented problem solver • Comfortable with ambiguity and building as you go • Low ego, high accountability • Thrives on optimization and efficiency Bonus Points: • Real estate industry experience (not required to be licensed) • Content marketing or digital marketing background • Experience with YouTube, Instagram, or social media growth strategies • Familiarity with real estate tech stack (KvCore, Dotloop, etc.) • Startup or fast-growth company experience Compensation: $50,000 - $70,000 yearly
