We’re looking for a motivated real estate executive assistant to assist the in-house real estate attorney in completing administrative tasks. Responsibilities include liaising between the attorney and clients, guiding team members through offers and transaction management, database management, call monitoring, setting up MLS searches, scheduling showings with local team members, screening messages, notifying the attorney of important information, and overseeing schedules. You’ll also be responsible for assisting with events, organizing and maintaining digital files and records, and completing other administrative tasks as needed to support the team. Responsibilities: • Work with an in-house real estate attorney to provide a smooth experience for both clients and agents on the team. • Monitor communication channels to make sure there are no missed opportunities or unanswered questions. • Listen to calls, set up MLS searches based on client search parameters. • Receive showing requests and schedule showings with available team members. • Submit weekly reports to show agent compensation. • Draft offers and documents to be reviewed and approved by the attorney prior to signatures. • Assist in the creation of systems to make agent operation easy. • Host virtual office hours where agents can pop in and ask "how-to" questions. • Assist in listing development and management. • Transaction coordination from accepted offer to closing. • Marketing and social media support. • Digital file management. • Other duties as defined as the role evolves. Qualifications: • Prior experience in real estate is a bonus • Can work on deadline and handle private client information • 2-3 years experience providing administrative support in a personal assistant role, or similar • Experience using word processing programs, spreadsheets and Multiple Listing Service • Able to effectively communicate to clients and other team members in a timely manner Compensation: $5 - $7 hourly
