    The Real Estate Operations Manager is a key leadership role within the Gold To Sold Group, responsible for overseeing and optimizing the daily operations of our high-performing residential real estate team. This individual ensures that all processes, systems, and team functions run efficiently and at the highest standard—supporting the team’s mission to deliver the gold standard in real estate service. This role is ideal for someone with strong operational, administrative, and leadership skills who thrives in a fast-paced, team-oriented environment. The Operations Manager will work closely with the Marketing Director and Virtual Assistant (VA) to build, support, and scale a dynamic, productive, and client-centric team. Reports To: CEO / Team Lead Collaborates With: Virtual Assistant (VA), Marketing Director, Agents, Transaction Coordinator Responsibilities: Daily Responsibilities: • Oversee the flow of transactions from contract to close, ensuring timelines, documentation, and compliance standards are met • Monitor and manage CRM usage (Lofty) and pipeline reporting • Coordinate weekly team meetings and productivity tracking • Supervise scheduling, calendar management, and logistics for showings, open houses, team trainings, and appointments • Provide administrative support for the team, including maintaining systems, handling correspondence, and organizing digital files • Support the onboarding and training of new agents and staff • Implement and oversee listing and transaction systems with the VA Financial Duties: • Track and report team financial metrics including GCI, agent production, expenses, and ROI on lead sources • Collaborate with bookkeepers/accountants to ensure proper categorization of business expenses • Assist with budget creation and adherence, vendor management, and cost-saving opportunities • Manage commission disbursement paperwork, referral tracking, and bonus structures Management Duties: • Oversee the Virtual Assistant and other support staff, providing clear direction, regular check-ins, and performance feedback • Assist in building and maintaining team culture, systems, and accountability structures • Manage vendor relationships (e.g., photographers, signage companies, tech tools) • Ensure consistent application of operational procedures across all agents and admin staff Leadership Responsibilities: • Act as the right hand to the Team Leader, serving as a key integrator and problem solver • Align team operations with the strategic goals and core values of the Gold To Sold Group • Identify opportunities for improvement and implement new systems or workflows to enhance efficiency and service • Foster a positive, growth-minded team culture and support professional development across the team • Participate in strategic planning and goal setting with leadership team Process & Systems Management: • Develop, document, and refine standard operating procedures (SOPs) • Track and manage KPIs and team dashboards • Ensure seamless lead flow, assignment, and follow-up via CRM automation • Streamline listing and transaction processes with consistent checklists and templates • Collaborate with the Marketing Director to align listing launch timelines and marketing initiatives Administrative Duties: • Maintain team documents, licensing info, and compliance files • Handle incoming inquiries, file management, and database hygiene • Coordinate team calendar, event planning, and team appreciation efforts • Assist with email and communication management for the Team Lead as needed Qualifications: Ideal Candidate Must Have: • 2+ years of real estate operations experience (residential team-based) • Excellent organizational and time-management skills • Strong leadership qualities with a calm, solutions-oriented demeanor • Highly tech-savvy and adaptable to new tools • Passion for operational excellence and team building • Proven experience supporting high-volume sales teams Technology Requirements: • Proficiency in real estate CRM • Experience with MLS systems and transaction platforms (e.g., Skyslope, Dotloop, Brokermint) • Proficiency with Google Workspace (Docs, Sheets, Gmail, Calendar, Drive) • Familiarity with project management tools • Ability to coordinate with VA on automations and task management tools • Working knowledge of design platforms (e.g., Canva) to assist with branded materials when needed Compensation: $50,000 - $70,000
