About the Role We are looking for a sharp, organized, and forward-thinking Operations/Transaction Coordinator to serve as the right hand to our Team Leader and the operational engine of our growing real estate business. This is a high-trust, high-impact role — you will be the person our Team Leader relies on to keep every transaction running smoothly, every client feeling confident, and every detail handled with care. This role is based in the Winchester and Lexington, MA area, where you will be embedded in the day-to-day rhythm of a dynamic and ambitious team. Responsibilities: What You Will Do • Act as the trusted right hand to the Team Leader — anticipating needs, managing priorities, and ensuring she can stay focused on what she does best. • Manage all seller and buyer transactions from initial contract through to a successful close, owning the process completely. • Serve as the primary liaison between clients, lenders, attorneys, vendors, and agents — keeping everyone informed, aligned, and on schedule. • Coordinate the Team Leader's schedule, including listing appointments, buyer consultations, showings, and meetings. • Maintain and grow our CRM/database with accuracy and consistency, ensuring no lead or client falls through the cracks. • Represent the team with warmth and professionalism in every written and verbal interaction. • Identify and resolve client issues quickly and confidently, bringing solutions before problems become headaches. • Embrace and explore AI-powered tools and platforms to continuously improve how we operate — we want someone who leans into new technology, not away from it. Qualifications: What We Are Looking For • The right person for this role is curious, dependable, and growth-minded. Our ideal candidate brings: • Prior experience in real estate administration, a brokerage, mortgage, title, or a similarly detail-driven field — legal, finance, or operations backgrounds are also a great fit. • A genuine eagerness to learn. Whether it is a new CRM, an AI tool, or a process we haven't tried yet, you are excited, not intimidated. • Strong written and verbal communication skills — you are clear, professional, and always timely. • Exceptional organizational ability — you track everything, miss nothing, and keep the whole team one step ahead. • Comfort working both independently and as a close partner to the Team Leader, adapting fluidly to what the day demands. • A positive, proactive attitude that brings energy and steadiness to a fast-moving environment. • Real estate license is a plus, but absolutely not required. Compensation: $75,000
