WHO WE ARE
The Matt Rhine Group is one of the top boutique residential real estate teams in the Baltimore metro area — and we move fast. Affiliated with Keller Williams Legacy, we've closed over $58M in home sales and built a reputation on doing things the right way: with hustle, heart, and a client experience that earns referrals.
We're growing and we're looking for someone who wants to grow with us.
THE ROLE
As our Transaction Coordinator, you'll be the backbone of every deal we close. From ratified contract to settlement table, you own the process. You'll keep deals on track, keep clients calm, and keep agents focused on selling — not paperwork.
This role is for someone who thrives in motion. You love a full inbox the way other people love a cleared one. Deadlines energize you. You notice the detail no one else caught. And you communicate in a way that makes everyone — clients, agents, lenders, title companies — feel like they're in the best hands.
WHAT YOU'LL DO
Open and manage transaction files from contract through settlement
Track all deadlines — inspection, financing, appraisal, settlement — and proactively follow up
Communicate with clients, cooperating agents, lenders, title, and attorneys to keep deals moving
Review contracts for accuracy and flag any missing addenda, disclosures, or compliance items
Prepare and distribute transaction cheat sheets and status updates for internal team use
Coordinate with listing and buyer agents to ensure smooth handoffs and seamless execution
Maintain accurate records in our CRM (Follow Up Boss) and transaction management platform
Monitor HOA, condo, and lender timelines for specialized or complex transactions
Support post-settlement processes including commission tracking and file closeout
Look for ways to make the process better — your ideas are welcome here
WHAT YOU BRING
2+ years of transaction coordination experience in Maryland residential real estate (required)
Working knowledge of Maryland real estate contracts, addenda, and disclosure requirements
Familiarity with FHA, VA, conventional, and cash transaction nuances
Strong written and verbal communication skills — you write with clarity and warmth
Ability to manage 15–25+ active files simultaneously without losing a thread
Proficiency with Google Workspace, Microsoft Office, and transaction/CRM platforms
Detail-oriented, self-directed, and unflappable under pressure
A team-first mindset — we win together
EVEN BETTER IF YOU HAVE
Experience with Follow Up Boss, Dotloop, or similar platforms
Background working with new construction, REO, or leasehold transactions
Maryland real estate license (not required, but helpful)
Experience supporting a high-volume or multi-agent team
WHO THRIVES HERE
We're a tight-knit team that works hard, communicates openly, and genuinely celebrates each other's wins. If you want to be a cog in a machine, this isn't it. If you want your work to matter — and to have real room to grow into more — you'll fit right in.
We believe in doing the ordinary things extraordinarily well, and we're always open to someone who brings fresh eyes to how we do things.
