Real Estate Transaction Coordinator - Administrative Assistant
The Keystone Team is looking for a detail-oriented, high-energy Transaction Coordinator & Administrative Assistant to serve as the engine behind our sales success. You will manage the entire contract-to-close process, ensuring clients experience a seamless transition from "For Sale" to "Sold." This is a multi-faceted role that requires a blend of administrative precision and proactive support. You are the primary liaison between agents, clients, escrow officers, and lenders. You will also provide direct support to the sales team by handling the technical and logistical aspects of the home-buying and selling process. When things get hectic, you are the calm in the storm, keeping every file compliant and every deadline on track. This position is remote in the Philippines. Responsibilities: • Transaction Management: Oversee all aspects of residential real estate transactions from executed purchase agreement to closing. • Offer Preparation: Drafting real estate offers, counter-offers, and amendments under the direction of the Lead Agent to ensure quick turnaround times for clients. • Showings & Logistics: Managing the team calendar to schedule home showings and property tours, coordinating with sellers and other agents for seamless access. • Data Entry & CRM: Maintaining the integrity of our database by inputting new leads, updating client status, and ensuring all contact information is accurate and organized. • Documentation & Compliance: Coordinate inspections, manage escrow deposits, and ensure all mandatory disclosures and contracts are signed and uploaded to our internal systems. • Communication Hub: Act as the first point of contact for clients during the closing process, providing regular status updates and answering logistical questions. • Administrative Support: Manage the Lead Agent’s calendar, organize team meetings, and handle daily administrative tasks to keep the office running smoothly. • Listing Coordination: Assist with preparing listing presentations, scheduling photographers, and inputting property data into the MLS. Qualifications: • Experience in the real estate industry, transaction management or coordination, titles, and/or mortgages preferred • Driven by a desire to provide excellent customer service and a great customer experience • Applicants must possess exceptional organizational and verbal and written skills • High school diploma or GED required, preferably some college experience • Proficiency in MLS, DocuSign, and CRM software (Follow Up Boss). • Extreme attention to detail. You spot a missing initial from a mile away. • A service-first attitude with the ability to stay organized under pressure. Compensation: $6,000 yearly
