This role offers: • Industry-leading systems (Follow Up Boss, Skyslope, SISU, and more) • A collaborative team culture where we help each other win • Clear processes with room for innovation and growth The chance to be a core part of something big —we’re building a $200M team Who You Are • You’re grace under pressure—organized, calm, and client-centric, even during high volume • You take ownership and follow through without needing to be micromanaged • You **** care deeply about people and value clear communication and proactive service • You’re tech-savvy and system-oriented, but never forget the human side of the business • You align with our core values and love being part of a collaborative, growth-minded team Compensation & Perks • Salary : $25-28/hr (based on experience) • Paid Time Off • Health, Dental, and Vision Benefits • Team bonuses, events, and recognition programs • Growth opportunities as we scale to 200+ transactions per year • Fun team culture with client-first values and a strong local brand Responsibilities: Your Core Responsibilities Transaction Management • Coordinate all aspects of real estate transactions from contract to close (buyers & sellers) • Create files and ensure all documents are accurate, compliant, and organized • Track and manage critical dates, timelines, and contingencies • Communicate clearly and consistently with agents, clients, lenders, title/escrow, and cooperating agents • Review title commitments and address any red flags (e.g., Trusts, LLCs, marriage licenses) • Upload and manage files in Skyslope and SISU; ensure smooth compliance process • Order home warranties (if applicable) and coordinate final walkthroughs and closings • Document and improve internal systems and workflows as needed Client & Vendor Communication (In-Escrow) • Be a calming, professional point of contact for buyers and sellers throughout escrow • Provide proactive updates, answer questions, and troubleshoot challenges with empathy and urgency • Keep vendors and third-party partners in the loop to ensure smooth execution • Assist with gifting and touchpoints during the transaction for added personalization Team Operations & Meeting Support • Assist the team leader in preparing for buyer, seller, and recruiting appointments • Help manage logistics and materials for meetings and presentations • Attend occasional client meetings and events to support the team leader Managing Virtual Support • Communicate with and help oversee the tasks of our transaction coordinator assistant (virtual assistant) • Ensure tasks are completed on time and up to standard Office Admin • Collect, sort, and distribute incoming and outgoing mail • Take out office trash and maintain cleanliness in shared areas • Monitor office supplies and restock as needed • Maintain inventory records and alert management when supplies need to be reordered • Perform other light administrative tasks as assigned Qualifications: What You Bring to the Table • 1+ years of real estate transaction coordination experience • Strong knowledge of California real estate contracts, timelines, and disclosures • Excellent communication skills—both verbal and written • High attention to detail and a “no ball gets dropped” mindset • Proficiency with tools like Google Workspace, Follow Up Boss, and Skyslope • Positive attitude, self-starter mentality, and desire to grow with a mission-driven team Bonus Points If You Also Have: • Experience working on a real estate team or at a brokerage • Familiarity with SISU and eXp Realty systems • Prior customer service or operations experience in a high-volume setting Compensation: $25 - $28 hourly
