Real Estate Transaction Coordinator & General Admin
We are hiring a full-time Remote Real Estate Transaction Coordinator & General Admin to support a solo agent. This is an all-around role for someone who can manage transactions, stay on top of daily administrative work, and assist with light marketing tasks. The ideal candidate is highly organized, proactive, and able to keep multiple moving parts running smoothly without constant oversight. This role is centered around transaction coordination and general administrative support, while also helping with CRM management, scheduling, client communication, and basic marketing execution. We are looking for someone who can stay ahead of deadlines, maintain accuracy under pressure, and support the business across several areas at once. The ideal candidate has 3 to 5+ years of experience in real estate administration and transaction coordination, is detail-oriented, and works well in a fast-paced environment. Important: This is a full-time role. We are only considering candidates who do not have any other active jobs or freelance commitments. The selected candidate must be fully dedicated to this position and will not be permitted to outsource or delegate their work. Responsibilities: Transaction Coordination • Manage transactions from contract to close with accuracy and accountability • Track timelines, deadlines, and ensure all compliance requirements are met • Coordinate with escrow, lenders, title, agents, and clients • Maintain organized transaction files and documentation • Ensure all paperwork is complete, accurate, and submitted on time Administrative Operations • Manage and maintain CRM systems such as Follow Up Boss, Brivity, Lofty, or similar • Track pipelines, follow-ups, and ensure database accuracy • Manage email inbox, calendar scheduling, and daily administrative tasks • Coordinate appointments, showings, and travel arrangements as needed • Use project management tools to track tasks and stay on top of deadlines Client Communication Support • Communicate with clients professionally via email, phone, and text • Request reviews and maintain consistent client follow-up • Ensure a high level of customer service throughout all interactions Marketing Support • Assist with newsletters, direct mail campaigns, and CRM touches • Create or coordinate basic marketing materials using Canva • Support social media posting and content coordination as needed Qualifications: • 3 to 5+ years of real estate administration and transaction coordination experience • Proven ability to manage contract-to-close processes independently • Experience with real estate CRMs such as Follow Up Boss, Brivity, Lofty, or similar • Highly organized with strong attention to detail • Proactive, self-directed, and able to stay ahead of tasks without constant supervision • Strong communication skills across email, phone, and text • Comfortable working in a fast-paced, multi-task environment • Experience using project management tools to manage workload and priorities • Basic marketing and Canva experience is a plus Compensation: $9 - $11 hourly
