As a Transaction Coordinator, you will manage the administrative details of real estate transactions, keeping all parties informed, organized, and on track. You’ll be a vital part of the team, providing exceptional support and ensuring every transaction progresses seamlessly from contract to closing. Responsibilities: Document Management & Review • Receive submission forms and signed documents from agents. • Review documents for missing dates, signatures, and compliance issues. • Upload and organize documents in Skyslope and A-Frame for broker review and tracking. • Prepare amendments/addenda using templates or agent direction and send for signature. • Send signing requests for missing signatures or non-customized documents. Deadline Tracking & Communication • Identify transaction deadlines (e.g., inspection, financing, HOA review) and send calendar invites and email reminders to agents. • Follow up with agents, parties, and lenders to ensure contingencies and deadlines are met. Client Support • Call clients to introduce yourself as an additional resource for their transactions. • Send TrustFunds information and inspector lists (buyers only) when requested. • Coordinate appraisal scheduling and group text with the agent and client if the appraisal is “good.” If not, notify the agent directly. • Assist in scheduling inspections and confirm earnest money (EM) is paid. Pre-Closing Preparation • Confirm inspection amendment work is completed, and paid receipts are provided. • Request missing documents and ensure the file is complete one week before closing. • Confirm the closing has been scheduled with all parties. Post-Closing Tasks • Submit the settlement statement and check to Skyslope for processing. • Text clients to request 5-star reviews using agent-provided review links. Other Responsibilities • Coordinate listing status changes for listings. • Address broker compliance issues and communicate updates to agents. • Manage the distribution of amendments or additional documents to all parties. Qualifications: What We’re Looking For: • Exceptional attention to detail and organizational skills. • Strong communication skills for interacting with agents, clients, and third parties. • Proficiency with real estate transaction platforms (e.g., Skyslope, A-Frame) is preferred. • Ability to work independently and meet deadlines in a fast-paced environment. • Real estate or administrative experience is a plus. Compensation: $50,000 + based on experience
