The Transaction Coordinator (TC) is responsible for managing and overseeing all buyer and seller transactions from contract to close, ensuring a seamless, compliant, and concierge-level experience for clients, agents, and partners. This individual serves as the primary point of contact for clients throughout the transaction and takes full ownership of ensuring all documents, deadlines, and communications are handled accurately and professionally. This role is ideal for a highly competent, proactive self-starter who thinks ahead, double-checks their work, and treats each transaction as a reflection of the agent and team’s reputation. The TC is not simply executing templates, but applying sound judgment, attention to detail, and thoughtful communication throughout the process. This position is compensated per closed file and is well-suited for someone who thrives in a fast-paced real estate environment and confidently owns their role. Responsibilities: Transaction Management (Contract to Close) • Oversee all buyer and seller transactions from ratified contract through settlement • Review contracts and documents for completeness, accuracy, and required signatures, ensuring files are client-ready and error-free • Open, manage, and maintain organized transaction files in the transaction management system • Track and manage all critical deadlines (inspection, appraisal, mortgage, settlement, etc.), proactively anticipating next steps • Prepare and manage addenda, amendments, and required documentation with careful review and attention to detail • Coordinate effectively with agents, lenders, attorneys, title companies, and other service providers • Ensure all documents are fully handled for the agent, minimizing back-and-forth and last-minute issues Listing Management • Manage listing paperwork and ensure all required documentation is complete, accurate, and compliant prior to going live • Upload and maintain listing documents in transaction management and compliance systems • Track listing timelines from active status through settlement • Utilize strong templates while thoughtfully adjusting as needed to fit the transaction and client Compliance Management • Ensure all listings and contracts comply with brokerage, MLS, and state regulations • Handle all compliance-related tasks through contract-to-close (CTC) • Maintain organized, audit-ready files with consistent accuracy • Submit files for broker review and promptly resolve any deficiencies • Double-check work to prevent errors and ensure the team and agent are always present professionally to clients Client Care & Communication • Serve as the primary point of contact for clients throughout the transaction • Communicate clearly, professionally, and proactively via email and other channels • Provide timely updates, timelines, and next steps to buyers and sellers • Deliver a high level of fiduciary responsibility and concierge-level client service • Adapt communication style as needed for different clients, agents, and partners • Identify and resolve issues early, escalating to agents or leadership when appropriate Team & Vendor Communication • Keep agents and internal team members informed of transaction status and upcoming needs • Advise when additional agent involvement is required for negotiations or conflict resolution • Maintain organized records of vendors and service providers involved in each transaction • Communicate with kindness, confidence, and professionalism under pressure Commissions & Closing Coordination • Prepare and submit commission disbursement forms • Verify commission amounts, splits, and referral fees for accuracy • Review settlement statements (CD/ALTA) to ensure all details are correct prior to closing • Coordinate with brokerage and accounting to ensure timely commission payments Post-Closing Responsibilities • Manage post-closing tasks, including file close-out and required filings • Send post-closing review requests to clients • Coordinate team donation per closing in alignment with team processes • Ensure all post-close follow-up tasks are completed in CRM and tracking systems Task & Tracking Management • Update and manage transaction-related tasks in Asana • Maintain accurate records of new listings and contracts in the Sisu tracking system • Stay ahead of workload by managing tasks efficiently and independently Job Type & Compensation • Position Type: Per-File / Independent Contractor • Compensation: Paid per closed transaction (buyer and/or seller side) • Compensation structure to be determined based on experience Qualifications: • Must have a valid Real Estate License • Experience in the real estate industry, transaction management or coordination, titles, and/or mortgages preferred • Passionate about providing excellent customer service • Real estate license preferred • High school diploma or GED required, preferably some college experience • Must have excellent organizational skills and communication skills Compensation: $30,000 - $40,000 yearly
