This position is working full-time on-site in office, Monday thru Friday from 8am-5 pm, with a 1-hour unpaid lunch.
Position Overview
We are seeking a Receptionist / Administrative Assistant who thrives working with a dynamic and growing team of engineers and architects. This position is responsible for providing excellent customer service to MNA's clients and guests. They will also provide general administrative and office tasks as needed. This person should possess strong customer service, communication, and organizational skills.
Job Responsibilities
- Greet guests and clients in a friendly, inviting manner.
- Direct incoming calls to the appropriate employees, taking messages and communicating to employees as needed.
- Assist with client or guest questions.
- Perform routine clerical and administrative functions, including scheduling appointments, organizing, and maintaining files, drafting communications, etc.
- Takes, organizes, and maintains supply inventory for the office - ordering supplies as needed.
- Assist with RFP (Requests for Proposal) preparations in InDesign.
- Assist with new project setup and basic accounting functions as needed.
- Entry and approval process of Accounts Payable.
- Oversee project closeout, prepare contracts, preform quarterly updates, and maintain files and documentation.
- Additional duties as assigned.
Qualifications
- Associate's degree in business administration or related field.
- Previous experience in a customer service or office environment preferred.
- Previous experience using MS Word and Excel necessary,
- Prior experience using Adobe InDesign a plus.
- Strong organizational skills, attention to detail, multi-tasking skills, and interpersonal communication skills.
- Strong critical thinking and problem-solving skills.
