Responsibilities: • Greet and welcome all clients and visitors with warmth, professionalism, and empathy • Answer, screen, and direct phone calls with compassion and efficiency • Manage appointment scheduling via phone, email, and text in our firm-wide calendar system • Track and manage the intake process for all potential new clients, ensuring accuracy, timeliness, and confidentiality • Maintain and update intake tracking sheets and client workflows using Excel and internal systems • Prepare and maintain the reception area and conference room for meetings and consultations • Sort, distribute, and process daily mail and deliveries • Support clerical tasks such as scanning, copying, filing, and faxing • Order and monitor office and reception supplies as needed • Protect client confidentiality at all times and uphold the ethical standards of the legal profession Qualifications: What We’re Looking For: • Prior experience as a receptionist or front office representative (legal or professional office preferred) • Proficiency in Microsoft Excel is required, including using spreadsheets to track data, organize workflows, and support client intake • Strong organizational skills with the ability to multitask, prioritize, and maintain systems for efficiency • Excellent written and verbal communication skills with a friendly, calm, and professional demeanor • Comfort using a multi-line phone system and standard office equipment • Resourcefulness, reliability, and a proactive mindset, you anticipate needs before they arise • High emotional intelligence and the ability to remain composed in sensitive or emotionally charged situations • A team player with a heart for service and a commitment to excellence Compensation: $15 - $19 per hour
