    The Receptionist & Client Intake Specialist is the first point of contact for Hailey Petty Law Firm — both in person and on the phone. This role owns the front desk and all standard reception functions, while also serving as the firm's first filter for potential new clients: gathering information, qualifying leads, and setting up qualified prospects for a smooth handoff to the sales team. This is a true hybrid role, blending traditional front-desk hospitality with the judgment and people skills of an intake/sales-support function. Responsibilities: Reception • Greet all visitors warmly and professionally as the first face of the firm • Answer, screen, and route incoming calls • Manage the front desk: visitor sign-in, mail/deliveries, conference room scheduling, and general office upkeep • Maintain a clean, organized, and welcoming lobby and reception area • Support attorneys and staff with general administrative tasks as needed Client Intake • Field inquiries from potential new clients (PNCs) by phone, walk-in, or web lead • Ask qualifying questions to determine fit for the firm's practice areas and case criteria • Build the initial client file: contact information, case summary, and relevant intake details • Schedule qualified leads with the sales/intake team and ensure a clean handoff (no dropped information, no duplicate questions for the prospective client) • Track and follow up on leads that aren't immediately ready to move forward • Maintain accurate records in the firm's CRM/intake system Qualifications: • Prior experience in reception, customer service, sales, or intake (legal or medical intake a plus) • Comfortable asking direct questions and making judgment calls on lead quality • Excellent phone etiquette and in-person presence • Strong written and verbal communication skills • Detail-oriented with the ability to manage multiple conversations/tasks at once • Familiarity with CRM or case management software (or ability to learn quickly) • Professional demeanor — this person represents the firm's first impression Compensation: $22 - $28 hourly
